Duties
- Greet visitors and clients at the front desk with professionalism and warmth, ensuring a positive first impression
- Manage multi-line phone systems, screen calls, take messages, and direct inquiries efficiently
- Perform data entry and maintain accurate records using Microsoft Office and Google Workspace applications
- Handle filing, photocopying, scanning, and document proofreading to support daily administrative tasks
- Assist with calendar management, appointment scheduling, and coordinating meetings for staff members
- Support bookkeeping activities using QuickBooks or similar accounting software to track expenses and invoices
- Provide customer service support by addressing inquiries promptly and professionally via phone or email
- Maintain office supplies inventory and place orders as needed to ensure smooth operations
- Support office management initiatives by organizing files, updating databases, and ensuring compliance with company policies
Qualifications
- Proven experience in an office environment or administrative role with clerical responsibilities
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting
- Exceptional phone etiquette skills with experience managing multi-line phone systems
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Previous experience as a receptionist or medical/dental receptionist is a plus
- Familiarity with QuickBooks for bookkeeping tasks is advantageous
- Strong attention to detail for proofreading documents and data entry accuracy
- Ability to handle confidential information discreetly and professionally
