Position Overview:
We’re looking for a proactive and detail-oriented Events Coordinator to help us deliver exceptional events from booking to execution. This role is ideal for someone who thrives in a fast-paced environment, enjoys working cross-functionally, and has a strong passion for customer service and event planning.
Key Responsibilities:
- Manage all aspects of private and public events from initial inquiry through successful execution
- Serve as the primary point of contact for event clients—understanding their vision, creating custom quotes, and confirming logistics
- Coordinate closely with internal teams (kitchen, bar, service staff, yard) to ensure seamless event execution
- Develop detailed event plans and day-of run-of-show schedules
- Be present on-site during events to oversee setup, troubleshoot issues in real time, and ensure customer satisfaction
- Maintain accurate records, calendars, and communication logs for each event
- Monitor event inventory and support ordering or rental coordination as needed
- Deliver outstanding customer service that reflects the values and reputation of The Backyard
Qualifications:
- 2 years of experience in event coordination, hospitality, or a similar client-facing role
- Strong organizational skills and close attention to detail
- Ability to think on your feet and solve problems quickly under pressure
- Excellent interpersonal and communication skills
- Demonstrated success working cross-functionally with multiple teams
- Availability to work evenings and weekends as required for event coverage
- Proficient in email, spreadsheets, and basic event management tools
- Passion for creating memorable, high-quality experiences for guests
Work Environment & Schedule:
- Hybrid schedule with flexibility during the week
- Must be on-site during all scheduled events (typically evenings/weekends during the warm season)
- Some physical activity required, including walking event grounds and setup
