Position Title: Executive Assistant

Position Status: Part-Time - 8:30am to 1:00pm

Supervisor: Chief Executive Officer

Work location: Central Business Office, Elizabethtown, Ky. 42701

Pre-Employment Requirements:

  • Drug test
  • Background checks (background check over one year since prior criminal conviction)
  • TB skin test: Must have a test or provide proof of one within the past year.
  • Must have a valid driver’s license with reliable transportation.
  • Associate’s degree preferred or a minimum of a high school diploma with equivalent experience in a related field.

Position Summary: Responsible for supporting the administrative operation of Chief Executive Officer to ensure the highest level of care is provided.

Skill Sets: Demonstrate good oral and written communications. Maintain a supportive and encouraging working relationship with supervisor, leaders, and clients. Must have basic computer skills, communication skills and demonstrate a non-judgmental and non-biased disposition regarding clients.

Physical and Environmental Demands: Visual acuity and manual dexterity are needed for required paperwork. Frequent talking and hearing are required when communicating with leaders, families, and other service providers. Physical demands are light with walking, standing, and occasional stooping. Possible exposure to communicable diseases during contact with individuals released from various locations i.e., jail, hospitals, unsanitary conditions, rehabilitation centers, etc.

Job Responsibilities:

  • Able to provide quality customer service to personnel, persons served, families and stakeholders.
  • Help maintain the health, safety and welfare of personnel, persons served and stakeholders.
  • In collaboration with other staff initiates and maintains corporate compliance.
  • Ensure appointments are scheduled.
  • Coordinate maintenance of the office including cleaning, shred pick-up, and supply acquisition.
  • Maintain inventory and purchase of UDS/POC cups for use in all facilities.
  • Assist in maintaining and updating all Policies and Procedures manuals as needed.
  • Collaborate with HR Department to ensure documents are filed and stored properly- including all CARF binders and documentation.
  • Answer phone, take messages and respond in a timely manner.
  • Ensure office mailbox and PO Box is checked daily.
  • Conduct follow up with clients that AMA or are administratively discharged.
  • Transcribe CEO’s team meeting minutes.
  • Ensure and maintain client confidentiality and adhere to HIPAA regulations.
  • Attend monthly Interagency meeting to stay connected with local and county agencies.
  • Send out correspondence under the direction of the CEO.
  • Other duties as assigned.
