Position Summary:
We are seeking a full-time Legal Assistant / Case Manager who is proactive, organized, and thrives in a high-volume, fast-moving environment. The ideal candidate is a fast learner, comfortable with Apple computers, proficient in Microsoft Office Suite, spreadsheets, and Clio legal case management software. You must be capable of developing efficient systems, multitasking with ease, maintaining strong communication with clients, and staying on top of deadlines with minimal supervision.
Key Responsibilities:
- Conduct client intake interviews and gather detailed information to assess legal needs.
- Serve as the primary point of contact for clients throughout their case.
- Draft, file, and organize legal documents, including retainer agreements, motions, notice of appearance, complaints, and correspondence.
- Manage and maintain attorney calendars, court dates, client meetings, and critical deadlines.
- Track case progress, deadlines, and follow-up tasks using Clio (must be proficient).
- Prepare spreadsheets, case summaries, and settlement breakdowns.
- Provide accurate fee quotes and explain fee structures clearly to clients.
- Maintain and organize case files, including digital records and physical documentation.
- Assist with legal research and case preparation under attorney guidance.
- Coordinate service of process, filings, and communication with opposing counsel and courts.
- Maintain internal systems and checklists to streamline workflows and maximize office productivity.
- Notarize documents (must be a Notary Public or willing to become one).
- Translate documents and assist Spanish-speaking clients (Spanish fluency is a strong plus).
- Maintain strict confidentiality and professionalism when handling sensitive information.
- Assist with court prep and ensure the attorneys are trial-ready.
Qualifications:
- Minimum 3 years of legal assistant/paralegal experience in a law firm setting.
- Proficiency with Clio legal case management software required.
- Strong computer skills with Apple computers and Microsoft Office Suite (Word, Excel, Outlook).
- Highly organized with strong attention to detail and the ability to multitask effectively.
- Prior experience in personal injury, criminal defense, or entertainment law is strongly preferred.
- Excellent written and verbal communication skills; able to clearly communicate with clients, courts, and legal professionals.
- Experience in legal billing and preparing documents for court filings.
- Able to work independently with minimal supervision and manage high caseload volume.
- Must be reliable, punctual, and comfortable taking initiative.
- Notary Public commission in North Carolina preferred (or willingness to obtain).
- Bilingual (English/Spanish) is a significant advantage.
