You will play a key role in managing invoices, payments, financial tasks, and vendor communication. Sounds good? Then keep reading! Your Day to Day responsibilities: Invoice and Expense Management: Record material and expense invoices, attach to POs/item receipts, and save in the global folder. Ensure invoices from all vendors are booked correctly and timely. Reconciliation and Payment Processing: Review and reconcile vendor statements, collect receipts from cardholders, and ensure weekly reconciliation. Prepare invoice payments through QB A/P Module and notify vendors of payments. Vendor and Financial Coordination: Communicate with vendors about balances, credits, and discrepancies. Coordinate with HR for temp agency invoices and ensure timely booking and payment. Account and Financial Reporting: Reconcile bank and merchant accounts in QB and prepare financial statements. Conduct account analysis and record Journal Entries in QB. Operational and Administrative Tasks: Manage mail delivery and distribution, ensure vendor communications are sent to the correct email. Access Business Intelligence sites for data reconciliation and fulfill roles in the invoice authorization system. Preferable Background: A degree in Accounting or a related field, demonstrating a strong foundation in accounting principles and practices. Bilingual language skills in English and Spanish, as effective communication in both languages is required for this role. Proficiency in QuickBooks for accurate and efficient financial management. Familiarity with Excel as an essential tool in maintaining financial records and generating reports.
