BASIC PURPOSE:
This position is responsible for a variety of complex, confidential secretarial and administrative duties for the Chief Executive Officer.
MAJOR WORK ACTIVITIES:
1. Coordinates word processing projects, types reports, correspondence statements, minutes, agenda and memos.
2. Arranges meetings and conferences.
3. Attends meetings and takes minutes as requested.
4. Prepares all presentations, booklets, etc. for the Board of Directors Meetings, Memorial Services
5. Assists department heads with typing as time permits.
6. Maintains resident census, floor chart, patient logbook.
7. Maintains business files - updating, organizing, filing correspondence, documents and their pertinent forms, verifying completeness, storage and retrieval.
8. Maintains office machines for the administrative office, e.g. postage machine, fax, copiers.
9. Responsible for ordering and maintaining office supplies for the administrative offices.
10. Responsible for gathering information and preparing applications for state facility license and insurance policies for the organization.
11. Responsible for mail sending, sorting and forwarding, limited delivery of mail to residents as needed.
12. Responds to minor resident concerns and complaints.
13. Assists with welcoming visitors, residents, answers questions, handles inquiries and refers to proper department.
14. Compiles and maintains master lists and systems and administrative staff home phone numbers, etc.
15. Performs clerical work for the Chairman of the Board of Directors as needed.
16. Maintains lists of Board of Directors and Board Committee lists.
17. Performs specific work duties and responsibilities as assigned by the Chief Executive Officer.
Requirements
KNOWLEDGE, SKILLS AND WORKING CONDITIONS:
- Must have computer and typing expertise.
- Must be able to operate all types of office equipment.
- must be able to multitask and have strong organizational and time management skills.
- Must be willing to get licensed as a Notary Public.
- Work in well-lighted, temperature-controlled office area.
- Physical exertion required no more than 20% of the time.
- Minimal exposure to infectious diseases.
- Physical job demands may be subject to possible modifications to reasonably accommodate individuals with disabilities.
MINIMUM QUALIFICATIONS:
Education: Associates Degree or equivalent training with at least 2 years of previous experience. Must possess strong written and interpersonal skills.
Licensure/ Certification:
Experience: Two years previous experience.
An equivalent combination of education and experience may be considered.
Salary : $20 - $22
