The Forbes Funds (TFF) seeks a detail-oriented, mission-driven Office and Data Project Coordinator to join our collaborative, high-impact team. Reporting directly to the Director of the Greater Pittsburgh Nonprofit Partnership (GPNP) 75% and the Chief Programs Officer 25% of TFF, this individual will play a critical role in ensuring the seamless coordination of organizational activities, maximizing member engagement, and supporting data-driven decision-making across the ecosystem.
Key Responsibilities
Membership Growth and Engagement - Reporting to the Director of GPNP
- Increase GPNP membership renewals and joins through streamlining the existing membership renewal and dues processes and ensuring accurate tracking.
- Support the Manager of Executive and Community Affairs by routing prospective members to appropriate resources across the Forbes Funds ecosystem and optimizing follow-up.
- Maintain and update the GPNP member portal to maximize accessibility and engagement.
- Update CRM databases and communications platform listservs on a weekly basis to ensure clear and accurate audience segmentation and targeted outreach.
- Implement and track membership and marketing, recruitment, and retention efforts to grow and strengthen GPNP membership and better meet nonprofits' needs.
- Promote annual benefits and encourage member engagement, with a focus on equity-centered capacity building.
- Coordinate membership communications across social media, newsletters, the GPNP website, and other platforms.
- Compile and distribute blast emails and notifications (TFF communications; GPNP newsletters, policy briefs, actions alerts).
- Support events coordination and administrative duties for special projects of GPNP.
- Collaborate across teams to align GPNP and broader ecosystem members with capacity-building opportunities offered through TFF through coordination of survey, assessment, and form responses and follow-ups.
Program Alignment and Organizational Integration - Reporting to Chief Programs Officer
- Provide up-to-date reports on and coordinate the integration of communications, grants coordination CRM, and project management platforms to ensure alignment across The Forbes Funds' programs in line with organizational KPIs.
- Provide general and advanced administrative support and office support (typing, mail, scheduling, supplies, relationship development, outreach, pulling reports, HR support, etc.) in support of EIR and CPO Programs.
- Analyze and synthesize data into actionable visual reports and workflows to guide strategic decision-making internally and improve navigation of resources and programs externally.
- Pull and synthesize Needs Assessments data to report to survey participants and trends to the broader team.
- Maintain minor programmatic detail changes to The Forbes Funds website with current events, new data and changes as requested.
- Prepare and submit reports, testimonials, and data updates to the Executive Team to support grant reporting, sponsorships, and funding initiatives (without direct management of those contracts or reports).
- Contribute to the execution of special projects, learning cohorts, civic engagement initiatives, and other community-centered programs through administrative support and process improvement on a quarterly basis.
Operational Excellence and Team Collaboration
- Support Manager of Executive and Community Affairs and COO in executing internal data input and updating
- Ensure external data integrity across CRM, member portal, and project management systems.
- Send logistics and messaging for convenings, cohort launches, and learning events via listservs across communications data platforms.
- Support strategic initiatives and special assignments to maximize efficiency and impact.
- Foster a collaborative, positive, and equity-centered team culture.
Qualifications
- 3 years of professional experience in nonprofit, education, civic engagement, data management, or related fields.
- Bachelor's Degree preferred; equivalent experience considered.
- Demonstrated commitment to equity, transparency, and systemic change.
- Exceptional written and verbal communication skills.
- Strong organizational and project management skills, with attention to detail.
- Proficiency with CRM/constituent management platforms, communications systems, Microsoft Office Suite, and data analytics tools.
- Experience coordinating membership, marketing, or initiatives.
- Analyze and synthesize complex data into accessible, actionable reports.
- Comfort navigating fast-paced, collaborative environments with diverse internal and external stakeholders.
- Familiarity with the Social Determinants of Health, the United Nations SDGs, and regional nonprofit ecosystems a plus.
