The Overnight Auditor is responsible for ensuring the care and comfort of guests and in providing world-class guest service. The Overnight Auditor promotes a positive image of the Inn to guests and must be pleasant, honest, friendly, and address guest requests and problems in a timely and professional manner. Candidates should be committed and embrace excellence.

The Overnight Auditor is responsible for checking guests in and out, valet services as needed, problem-solving as guest or hotel problems arise, completing the nightly audit of the Property Management System (Rover), balancing and preparing reports to provide accurate, timely information to Owners and Management. The ideal candidate will be detail-oriented and will work to ensure all company and Hotel policies and procedures are followed.

This position is an overnight shift and requires availability from 11 pm-7:30 am. Candidates must have a valid driver's license to be considered and be able to operate both automatic and manual vehicle transmissions. If a candidate has any serious driving violations from the previous 5 years, they may not be eligible for this position. Must pass drug screen.

Essential Job Functions:

  • Welcome guests with professionalism and genuine care.
  • Proactively determine the needs of guests throughout their stay at the hotel.
  • Serve as an expert of the Eugene area and provide information to guests regarding things to do, where to eat, and how to best navigate the town. Deliver exceptional concierge services.
  • Ensure every guest request is met and followed up on.
  • Create reservations through the Property Management System. Develop a thorough knowledge and understanding of the PMS.
  • Review reservations for accuracy and special guest requests.
  • Answer the guest telephone and provide information to external parties as needed.
  • Welcome guests at check-in service and assist with check-out service.
  • Complete a daily checklist of routine tasks.
  • Respond to guest complaints, requests, and emergencies.
  • Reconcile accounts.
  • Balance the cash drawer and log receipts.
  • Investigate and resolve out-of-balance accounts.
  • Keep accurate financial records and ledgers.
  • Help prepare for forecasts and audits.
  • Balance and audit room revenue, food and beverage revenue, and telephone revenue for accuracy; assist in the preparation of all reports relevant to daily revenues.
  • Balance and audit all room tax charges, cashier reports, and guest house accounts for accuracy.
  • Complete and transmit daily management/accounting reports with any supporting documentation.
  • Prepare General Manager/Corporate/Ownership daily, weekly, and month-end report packages.
  • Act as the security point of contact during various times in the shift.
  • Be knowledgeable and prepared for emergency procedures.
  • Communicate with management to resolve accounting discrepancies and to request or provide information.
  • Accurately process all cash and credit card transaction in accordance with established procedures including but not limited to posting all charges, completing cashier and other reports, preparing deposit and counting/securing assigned bank.
  • Stock lobby, pantry, desk, and guest amenities and supplies.
  • Provide housekeeping and laundry assistance as needed.
  • Complete a nightly check-list of routine tasks.
  • Ensure confidentiality and security of all guest rooms.
  • Maintain a positive and cooperative work environment with all staff, supervisors, and managers.
  • Respond promptly and professionally to guest requests.
  • Report to supervisor the needed repairs or unsafe conditions promptly.

  • Attend mandatory meetings.
  • Successfully meet all deadlines required.
  • Maintain good public relations and interactions with guests, co-workers, and Market District neighbors in a respectful and professional manner.

Qualifications:

  • High school diploma or equivalent preferred.
  • Must be able to lift, push, and pull required load approx. 5 lbs and occasionally up to 50 lbs with assistance.
  • Must be able to spend the majority of the day standing, kneeling, bend, carrying, and walking.
  • Strong attention to detail required.
  • Must be able to follow written and verbal directions.
  • Must be flexible in hours and days available to work, including all shifts, weekends and holidays.
  • Previous overnight auditing, guest service, or valet experience preferred.
  • Must be able to concentrate on repetitive tasks.
  • Must have effective communication skills and must be able to work with a variety of people.
  • Must be capable of working in a fast paced environment with multiple interruptions.
