Administrative Assistant II:
Looking to work in more of the corporate side of higher education that acts less like academia, but still in an academic institution? We have partnered with a prestigious university in the Cambridge, MA area, looking for an Administrative Assistant II candidate to join their team.
This position is a temporary to permanent position with a 3–4-month temporary window before converting permanently.
The right candidate for this opening must have 3 years of relevant administrative experience. Must be polished and professional. This team acts more as a corporate office than academic. Should feel comfortable supporting up to 4 individual at a time, helping with scheduling, some calendar management, and meeting/event logistics. Should know how to handle financial transactions- monthly reconciliations, reimbursements, posting credit card charges), purchasing, and travel (minimal). Someone who has industry experience, versus a higher education background. They'd like the person to have an interest in higher ed though. Someone who is going to be committed and dedicated to this position through the working business hours and not be distracted by outside duties. Commitment is a big piece for this position. They need someone ambitious, a self-starter, someone who wants to be involved in project-based work. This person will be helping to maintain the company website, so needs to be tech savvy.
Job Details:
Assists in maintaining office supplies and equipment inventory, and coordinates new purchases as necessary; completes all purchases on behalf of the department and its faculty director according to and the Institute’s policies and procedures, including computers, equipment, memberships, subscriptions, books, supplies, etc.) Researches and gathers information for more complex projects; assists in data collection for research projects, as needed. Coordinates and assists with complex mass mailings. Collaborates with other MIT offices, programs, and centers in support of department activities. Serves as liaison between department and other groups internal/ external. Creates filing systems and monitors efficiency. Initiates changes and updates to manuals and procedures for the department. Designs PowerPoint presentations from established content. Responds to inquiries requiring a broad understanding of policies and procedures.

- Pay: $24.50/hr. (temp) and $5260K (permanent)
- Days/Hours: Monday Friday, 9am-5pm (40/hrs./wk.)
- This position will be a 5-day a week on-site role for the first 6-12 months, from there, they’d open to re-evaluating, depending on how things are going (where the alternative arrangement would be a mix with 1-2 days/week work from home)
- No covid vaccination require, but recommended
