WEDDING/EVENT PLANNER DAY OF EVENT COORDINATOR
Seeking a Planning & Event Coordinator - An energetic, positive, customer service focused person that brings a thorough understanding and appreciation of the Bucks County tourism and hospitality industry for a high-end bed & breakfast, fine dining and events venue. Someone who has a passion for creating memorable events.
RESPONSIBILITIES
∙ Event planning and coordination for Wedding couples, individuals, corporations, and various groups, for a multitude of on-property events.
∙ Conduct regular meetings both in Person & zoom with clients as one of the Inn’s in-house planners
∙ Utilize Event Management Software for organization and communication record keeping.
∙ Coordination of Custom Event Order including overnight room accommodations, blocks & reservations, scheduling and setup of reception/meeting rooms, BEO management, external vendors, for each of the functions as they apply.
∙ Sales Lead Management
∙ Preparation of required checklists, reports, confirmations, processing invoices, applying payments, etc.
Work collaboratively with other members of the Inn’s team to ensure functions/events are coordinated to provide a high level of customized service and sincere hospitality.
∙ Act as a project manager to work internally with all necessary departments to create event materials according to the event timeline.
∙ Professionally present information in one-on-one and small group scenarios to guests, clients and other employees of the organization
∙ Conduct tours of the property for the purposes of planning, networking and/or sales as needed.
∙ Manage, coordinate, and collaborate with internal staffing for Weddings and Events.
∙ Interact and assist with Bed and Breakfast guests for check-in, breakfast, or other as needed.
∙ Assist Event Director as needed, other duties as assigned
SKILLS & QUALIFICATIONS
∙ Bachelor's degree in communications, hospitality, or related field and/or 2 years High-End event planning experience (preferred)
∙ Knowledge of fine dining food service and/or event catering a plus
∙ Proven ability to manage and execute several events simultaneously
∙ Thrive in a fast-paced, dynamic environment through problem-solving with a highly positive "can-do" attitude under pressure and tight deadlines. Composure under high stress is a must.
∙ Proven strength in organization, planning and program management with meticulous attention to details and follow-through.
∙ Must be able to multi-task, with a high level of flexibility, creativity and innovation
∙ Excellent oral and written communication skills
∙ Demonstrated proficiency with Microsoft applications, including Outlook, Word, Excel, and PowerPoint, (Tripleseat & RezStream proficiency a plus)
PHYSICAL DEMANDS AND WORK ENVIRONMENT
∙ Must be able to stand during the entire shift, occasionally sit, climb or balance, stoop, kneel, or crouch.
∙ Must be able to regularly lift and/or move up to 20 pounds frequently and up to 50 pounds occasionally
∙ Flexible and long hours including evenings and weekends as required by event schedule
