What are the responsibilities and job description for the Administrative Assistant position at The Institute for Human Services?
IHS seeks a team player to join our HR / Workforce Excellence Team. We need a fun, outgoing, continuous learner who wants to gain valuable HR experience and be a part of a mission that helps the at-risk and homeless in our community.
Summary of Responsibilities:
- Performs customer service functions by answering employee requests and questions.
- Assists with Recruitment and interview process. Tracks status of candidates in HRIS and does follow-up at the end of the recruiting process; assists with new-employee background checks.
- Processes required documents through Payroll for Benefit enrollments and insurance providers to ensure accurate record-keeping and proper deductions.
- Reconciles Benefits statements.
- Prepares new-employee files.
- Completes, verifies and maintains I-9 files, other regulatory and internally required documentation.
- Assists with processing of terminations.
- Makes photocopies; mails, scans and emails documents; and performs other clerical functions; processes mail.
- Files documents into appropriate employee files.
- Prepare or assist with correspondence, schedules meetings and interviews as requested by the Director of HR.
- Performs other related duties as assigned.
Minimum Qualifications:
- High School diploma or GED; associate's or bachelor's degree in Business Administration, Human Resources or related field preferred.
- Demonstrated experience supporting multiple people in a busy office setting.
- Excellent communication and organization skills; able to maintain high levels of confidentiality.
- Strong computer skills with proficiency in data entry and experience with MS Word, Excel and PowerPoint.
