Administrative Support - Part Time Schedule - Rancho Mirage, CA
Administrative Support Position Overview:
This role offers administrative and credentialing support for the department. It focuses on managing credentialing processes and assisting with administrative operations, including scheduling, documentation, meeting support, and departmental organization. This position requires strong multitasking skills in a fast-paced, hands-on environment.
Key Responsibilities Administrative Support:
- Transcribe and prepare detailed meeting minutes, agendas, and related documentation
accurately and promptly.
- Manage scheduling of departmental meetings, including booking rooms, sending calendar
invites, and confirming attendance.
- Organize and coordinate lunches or light catering for meetings and events.
- Oversee ordering, updating, and distribution of business cards and provider bio cards.
- Coordinate printing and distribution of patient education materials, handouts, and
administrative documents.
- Maintain cleanliness, stock, and organization of shared departmental spaces, including
restocking sodas, water, and boardroom supplies.
- Manage pick-up and drop-off of providers’ lab coats from the cleaners and scrubs from
embroidery vendors.
- Handle incoming and outgoing mail and packages.
- Support other administrative teams and projects as needed; frequent movement
throughout the department is required.
Credentialing Support:
- Maintain credentialing files, databases, and compliance records while serving as a liaison
between providers and credentialing organizations.
- Assist providers in completing credentialing forms and gathering necessary supporting
documentation.
- Monitor credentialing timelines to ensure deadlines are met and applications are
processed promptly.
- Provide credentialing support for both physicians and physician assistants.
- Work directly with sensitive credentialing information and maintain strict confidentiality
at all times.
- Coordinate depositions by scheduling, following up with law offices, and working directly
with providers.
Administrative Support Qualifications:
- Experience in credentialing, administrative support, or related roles.
- Strong ability to transcribe, format, and summarize meeting minutes professionally.
- Excellent organizational and multitasking skills with attention to detail.
- Proficiency with Microsoft Office and scheduling systems.
- Ability to handle confidential information with discretion and professionalism.
Work Environment & Physical Requirements
- This position requires extensive multitasking and the ability to manage multiple priorities
simultaneously.
- The role is hands-on and involves frequent running around the department to support operational needs.
- Must be able to lift and carry items weighing up to 25 pounds.
- This is a part-time position scheduled for four days weekly.
Job Type: Part-time
Pay: $23.00 - $25.00 per hour

Education:
- High school or equivalent (Required)
Experience:
- Medical administrative support: 3 years (Required)
- Credentialing Support: 3 years (Preferred)
