 Administrative Assistant for the Head of School and Associate Head of School

Location: The Riverside Church in the City of New York (New York, NY)

Reports to: Head of School and Associate Head of School

Department: Weekday School

Schedule: Mon- Fri: 9:00am - 5:00pm on site

Salary Range: $55,000 to $60,000

 

Job Summary:

Provide administrative and operational support to the Head of School, the Associate Head of School and Director of Admissions of the Weekday School.

 

Essential Job Responsibilities:

  • Manages all general operations of the school office (includes teacher and parent correspondence including fax, phone, and email)
  • Generates and distributes all school notices and information (calendars, events, scheduling of conferences)
  • Works with Operations Department in the organization of classroom space, rental space within Riverside Church and all other room assignments for all events for the Weekday School
  • Responsible for maintaining and updating all student files, medical information and emergency contact information
  • Generates all tuition invoices.  Works in conjunction with the Associate Head of School to communicate any arrears in a timely and professional fashion
  • Organizes all payment authorization forms for payroll and such other duties as may be assigned by the Head of School
  • Reception in Weekday School main office
  • Schedules appointments
  • Records and maintains all tracking for children’s absences 
  • Records and maintains all tracking of extra time charges and the billing to parents where applicable

 

Experience and Education Requirements:

  • Proficiency with Office 2010, Word, Excel, PowerPoint, and Outlook
  • Familiar with basic office skills, such as answering phone, filing paperwork, etc.
  • Strong verbal communication skills required
  • Excellent interpersonal skills and is a team player
  • Demonstrated ability to multi-task and prioritize
  • Demonstrated ability to effectively coordinate complex events and collaborate with various departments and ministries
