Overview
SCOPE AND PURPOSE OF POSITION:
The office assistant will provide support with the general operation of the office and the material assistance ministry.
Responsibilities
ESSENTIAL DUTIES AND RESPONSIBILITIES:Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.• Implement a Christian philosophy in all work, including the encouragement to present the Gospel of Jesus Christ as a viable, long-term solution for the spiritual, social and physical needs of our clients.• Provide a consistent professional presence in the reception area by greeting guests warmly in person and by telephone. • Maintain a tidy front office and waiting area. • Distribute mail, voice messages, and email as appropriate.• Maintain and keep information current with corps calendar, corps signage, displays, flyers and promotional material.• Keep an inventory of office supplies and restock as needed.• Collect statistical information from program leaders and enter into THQ system.• Process employee payroll to Divisional Headquarters.• Process Camp Long Point camper paperwork. • Assist with the kettle effort by scheduling volunteers and providing other support as needed.• Assist with donation pickups as requested.• Process all applications for financial assistance. • Assure that all client case files are complete and organized. This includes food pantry applications with the assistance of current volunteers, financial assistance, and Christmas assistance applications• Responsible for the organization and completion of Christmas assistance applications.• Drive van to pick up donations should volunteer driver be unavailable.• Office areas tidy; garbage removed; vacuumed regularly• Respond to all Material Assistance/Direct Service phone calls, walk-ins and inquiries.• Provide intake and case work for programs operated through the Material Assistance Program, including but not limited, to the Food Pantry, Rental Assistance, Utility Assistance, and Thrift Store Vouchers.• Maintain and compile service statistics on all clients. • Complete food pantry statistics report and submit to Central Pennsylvania Food Bank and Bradford County Commissioner’s office on a monthly basis. • Attend all Material Assistance staff meetings and in-service training sessions.• Request needed Material Assistance program supplies and materials from the Corps Officer• Consult Divisional Director of Social Services and/or Corps Officers to get additional information, feedback, and approval on assistance with difficult or unusual client situations.• Follow rules, regulations, and policies of the Department of Social Services and The Salvation Army. This includes, but is not limited to, obtaining a signed client Authorization For Release of Information form prior to entering data in the Service Point system. • Maintain clear communication with Corps Officer. • Provide other services as required for the efficient functioning of The Salvation Army.

Qualifications
SPECIAL SKILLS, CERTIFICATES, LICENSES, REGISTRATIONS:
• An understanding of and passion for The Salvation Army’s mission and ministry• Associate’s degree or minimum 1 year related experience• Strong written and verbal communication skills• Able to maintain strict confidentiality• Strong organizational skills• Proficient in Microsoft Word, PowerPoint, and Excel• Able to work well with individuals with varying needs• Have ability to handle difficult situations in a professional manner• Valid PA Driver’s License required and the ability to obtain and maintain driving privileges per Salvation Army standards
