Coordinates, directs, monitors and participates in the day-to-day operations of the Client Choice Food Pantry and overstock warehouse including ordering, processing, stocking, storing and distributing food pantry items; maintains an accurate count of inventory to minimize out of stock situations and investigates any discrepancies; oversees and assists pantry volunteers; trains staff and volunteers in equipment safety to ensure that operations run smoothly and in compliance with established policies and procedures; prepares and maintains statistical records of all activities, enters data in department database and generates reports, as requested, in an accurate and timely manner.

Pantry/Warehouse Coordinator (45%)

Orders food and supplies, in appropriate quantities, from the Regional Food Bank of Oklahoma, including USDA items; monitors expenditures to ensure compliance with monthly food budget.

Monitors the supply of inventory available in the warehouse/pantry, including all foods and supplies, in order to determine the areas needing additional stock.

Coordinates the arrival and distribution of all ordered and donated items ensuring that items reach the appropriate destination in a timely manner; Receive, count, stock items delivered.

Coordinates daily warehouse deliveries including accepting, unloading, organizing and storing of donated and ordered items. 

Inspects ordered and donated items for freshness; rotates inventory in order to prevent or minimize food spoilage; discards items in accordance with established procedures.

Maintains signage and proper freezer/refrigerator temperature logs as required for USDA regulations.

Ensures the warehouse area is properly maintained and secured at all times; keeps the dock and storage area clean, organized and in conformance with generally accepted standards for safety and fire codes.

Stores tools and equipment in an orderly and accessible manner in designated warehouse area. 

Coordinates scheduling needs with Volunteer Coordinator.

Meets weekly with the Manager of Social Services on Client Choice Food Pantry operations and to keep Manager informed of any pressing matters.

Receives and responds appropriately to pantry clients' questions or concerns; informs Social Services Manager of each concern and how it was resolved. 

Maintains and updates food recall information binder.

Assists staff with loading and unloading of items requiring a forklift.

Supervision (30%)

Supervises staff and volunteers in stocking/restocking the Client Choice Food Pantry; inspects work in progress and upon completion for accuracy and completeness; responds to volunteers and staff questions; ensures the work is performed in compliance with established standards, policies and procedures.

Supervises food distribution and ensures an atmosphere of safety, respect, dignity and service. 

Supervises and participates in daily and weekly housekeeping duties for pantry and warehouse; ensures that the warehouse, food pantry, refrigerators, freezers, coat room and outside area is maintained in a neat and orderly manner.   

Oversees reporting on emergency food boxes as part of the monthly intake data report.

Develops, updates, and maintains Procedures and Safety Manual for the Client Choice Food Pantry ensuring compliance with program regulations and requirements; provides in-depth training to staff and volunteers on pantry and warehouse procedures and safety guidelines.

Monitors volunteers break schedules, personal hygiene and safety issues. 

Supervises and coordinates food sorting and salvage activities, including USDA commodities and produce, with designated Salvation Army departments and Social Services staff.

Data Maintenance (20%) 

Prepares, maintains and completes necessary paperwork in compliance with program requirements; maintain statistical records of service and reports such as required by United Way, Community Council, Regional Food Bank of Oklahoma, USDA and Divisional Headquarters.

Ensures paperwork is accurate and complete and in accordance with program requirements; prepares and maintains statistical records of all activities, enters data in department database and generates reports, as requested, in an accurate and timely manner.

Maintains a daily tally of household and persons served; enters data in established database and generates monthly report.

Other Responsibilities (5%)

Evaluates and monitors the client in-take process; provides input and direction to staff and volunteers, as needed, to ensure the process runs smoothly and applications are expedited in a timely manner.  

Attends and participates in staff meetings, ministry and community meetings, public awareness events, community outreach and other events as requested by the Managerof Social Services or Corps Officer.

Assists at the client in-take window, as needed.

Assists with and participates in Christmas Angel Tree distribution, Disaster Services and other Social Services programs as requested by the Director of Social Services.

Performs other duties as assigned.

Qualifications:

Education and Experience

High School Diploma or G.E.D., preferred and two years' experience working in a warehouse setting and two years progressively responsible administration experience or any equivalent combination of training and experience which provides the required knowledge, skills and abilities.

Certifications/Licenses

Valid Driver's License

Forklift Certification

Physical Requirements

Ability to meet attendance requirements.

Ability to read, write, and communicate the English language.

 

Ability to ready and follow written and oral instructions.

Ability to prepare and analyze figures, data and statistical reports.

Ability to perform strenuous, heavy work involving the lifting and carrying of heavy objects.

Ability to perform continuous walking, standing, and stooping. 

Ability to greet guests, such as volunteers, clients and donors.

Ability to alternate between manual labor duties and contact with public, guests, clients and volunteers.

Ability to drive forklift, operate a manual forklift and/or operate a manual two-wheeler/dolly.

Ability to push/pull equipment.

Ability to operate equipment necessary to complete the essential functions of the position. 

Ability to move hands in repetitive motions including grasping, holding and finger dexterity.

Ability to display eye-hand coordination.

Ability to visually inspect, distinguish colors, measure/assemble at distance close to the eye.

Ability to climb stairs, step stools and ladders.

Ability to carry equipment necessary to complete the essential functions of the position.

Working Conditions

Work is performed in a pantry/warehouse environment where there are physical discomforts associated with changes in weather and temperature or discomforts associated with noise, dust, dirt and the like. Duties are usually performed by frequent walking and/or standing, kneeling, bending, climbing, crawling or squatting relieved by lesser periods of sitting.  Moderate amount of physical effort required associated with walking, standing, lifting and carrying objects (possibly greater than 50lbs.).
