MINIMUM REQUIREMENTS:


A bachelor’s degree from an accredited college or university and one (1) year of experience in property, inventory control or administrative duties.

Experience in property, inventory control or administrative duties can substitute on a year-for-year basis for the required college education.

Requires possession of a valid Driver License.

JOB DUTIES:


This position provides property control work - coordinating the inventory, location, assignment and disposal of division property involving moderate inventories and movement activities. This position also provides routine technical work in the operation of the division’s records management.

Serves as the division’s Property Custodian Delegate. Responsible for safeguarding and controlling all division-assigned real and tangible personal property. Completes Property Inventory Transaction forms upon the acquisition of property items. Affixes property decals to property items. Transfers property items using the electronic ICR form in Remedy. Performs annual inventory and related reconciliations. Identifies and requests disposal of surplus property items. Ensures adequate insurance coverage is maintained on all real property and contents.

Serves as the division’s Records Management Liaison. Is the primary point of contact between the division and the Records Management Liaison Officer in the Division of Administration. Identifies each Record Series created and maintained with the General Records Schedule or approved Individual Records Retention Schedule. Ensures records are protected and stored safely. Disposes of public records in accordance with schedules established or approved by the Division of Library and Information Services. Coordinates the annual records review and updates the division’s Records Inventory and Certification of Vital Records.

Serves as the division’s Fleet Manager. Responsible for entering vehicle use, repair and maintenance information into the FLEET system. Maintains vehicle maintenance and repair records on all vehicles and equipment until ownership changes. Reviews and updates the Missing Log, Delinquent Preventative Maintenance and Cost Utilization Reports from the FLEET system monthly. Assigns fleet vehicles for staff use based on availability. Reviews and validates as correct the list of underutilized vehicles.

Assists the division Safety Coordinator with development, recommendations and implementation of the division’s safety priorities with regard to safety and health. Assists in the implementation of employee safety awareness campaigns. Makes recommendations for the improvement of division training programs to ensure appropriate safety training occurs. Assists the division Safety Coordinator with periodic review and revision to the division’s health, safety and security manual. Coordinates the availability of specialized safety training for select employees.

Answers incoming phone calls as needed. Provides information to callers or routes calls as appropriate. Ensures positive customer service is provided to all visitors and customers.

Performs other duties as assigned.
