Administrative Assistant III
The Respiratory Care Department seeks a seasoned professional - Administrative Assistant III to proactively resolve administrative related issues as well as specially assigned projects.
Job Summary
In this role, the Administrative Assistant III is responsible for proactively and with minimal supervision identifying, addressing, and resolving administrative and related issues for areas reporting to Respiratory Care Services, a subsection within Patient Care Services (PCS), including, but not limited to, Respiratory Care Services, Critical Care Outreach Team, Pulmonary Function Testing (PFT- Ambulatory), and occasionally other PCS departments as well as specially assigned projects. May be required to work on various tasks concurrently with the need to prioritize work as dictated by management needs. May work independently or as part of the administrative support team.
Responsibilities include:
- Schedule meetings as requested with multiple individuals, particularly senior level leaders.
- Creates presentations related to assigned projects.
- Completes all purchase orders, check requests and maintains an organized system to track ongoing progress. Understands hospital operating system to expedite and maximize efficiency.
- Processing of invoices and monthly accounting reports. Prepares and update reports and upholds confidentiality regarding financial information.
- Orders supplies, maintains form and inventory per office needs.
- Prepares spreadsheets and reports as specified and organizes copies and prepares materials for meetings.
- Maintains strict confidentiality on all issues related to the position, meets deadlines with professionalism and work independently.
- Process payroll
- Enter IT & Access related requests on behalf of areas of responsibility
- Maintain Dept employee files in accordance with accrediting body & compliance requirements
- Assist leadership with facilitating onboarding and new employee orientation to dept(s).
- Perform other duties as assigned.

Required Qualifications
- A high school diploma or equivalent from an accredited academic body is required.
- Five (5) or more years of administrative or secretarial experience is required.
- Strong written and verbal communication skills required.
- Ability to use personal computers and select software applications; particularly the use of spreadsheet software is required (Microsoft office Suite- Excel PowerPoint and Visio).
- Must be able to plan, organize and work on various tasks concurrently; must be able to independently prioritize multiple tasks in a professional manner.
- Must be able to interact with customers independently and professionally, both internal and external to the Hospitals; strong interpersonal skills required.
Preferred Qualifications
- A completed Associates degree in a business or healthcare field is preferred.
- Experience working in a healthcare setting is preferred.
