Full-time position, working 40 hours per week.
Summary of Duties: Under general supervision, performs a wide variety of tasks in the Covenant Administration Department. Performs a variety of technical and clerical administrative duties required to operate the applications unit including meeting with the public, responding to inquiries related to covenants, providing preliminary review of plans, reviewing property improvement applications, determining required authorizations, collecting fees, and maintaining accurate computer records. Incumbents will routinely answer questions regarding covenant enforcement and application requirements for the public, architects, engineers, and contractors, and do related work as required by the supervisor.
Essential Duties and Responsibilities:
- Provide primary customer service, administrative, operational and staff support for the Covenant Administration application unit.
- Receives office visitors and telephone calls; provides comprehensive and technical information about residential standards, covenants, policies, programs, functions and procedures; assists the public with application and permit procedures.
- Performs preliminary review of application forms, and supporting materials and plans upon submittal to calculate scale, evaluate, determine, and verify applicable requirements.
- Prepares and submits activity statistical reports. Generate computer reports.
- Establishes, updates, and maintains information retrieval systems tracking systems.
- Gathers, organizes, and summarizes a variety of data and information. Maintains and updates computer files and databases.
- Performs special projects and prepares reports; prepares correspondence, informational material, and documents. Function with all components of the Microsoft Office suite, word processing and operates office equipment.
- Possess knowledge and understanding of the Covenants and Residential Standards for each of the associations in order to properly assess and respond to complaints inquiries, requests for improvement, applications, and plan review. Possess overview knowledge of the International Residential Code.
- Perform other duties as assigned.
Qualifications
Minimum Qualifications: To perform this job successfully, an individual must be able to perform each of the essential duties satisfactorily. Ability to: Read building plans and surveys preferred.
Education: High school diploma or general education degree (GED).
Experience: One (1) year experience in related field and/or training; or equivalent combination of education and experience. Three (3) years of responsible fast-paced office support work performing a variety of clerical, customer service, problem solving, technical and administrative or technical duties preferred.
Licenses and Certifications:
- Must possess or obtain a valid Texas driver’s license within the first ninety (90) days of employment and meet the driver safety policy requirements.
Computer Skills: Must be proficient in MS Office Suite/applications.
