Description

 

Job Summary

The Receptionist provides general office support with a variety of clerical activities and related tasks.  The Receptionist must deliver friendly, efficient customer service to create a warm and welcoming atmosphere for all of our customers, with the key aim of retaining and attracting new customers.

 

Essential Functions

  • Answers and transfers telephone calls.
  • Retrieves messages from voice mail and forwards to appropriate personnel.
  • Answers incoming telephone calls, determine purpose of callers, and forward calls to appropriate personnel or department.
  • Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.
  • Answers questions about organization and provides callers with address, directions, and other information.
  • Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.
  • Maintains security by routing visitors appropriately and following procedures; monitoring visitor sign-in sheet.
  • Assist in maintaining a safe and clean reception, kitchen, break and bathroom areas, at all times.
  • Assist with other related clerical duties such as copying, faxing, filing, and all other requests as needed.
  • Assists in ordering, receiving, stocking and distribution of office and cleaning supplies.
  • Assists with Port-a-Let, Septic and Water division calls and provide pricing to customers, as well as obtain new customer information for service.
  • Assists with maintaining Zemba clothing closet & inventory for employees.
  • Perform minimal tasks assigned by the Accounting department.
  • Responsible for sending out reminder postcards for septic service.

Qualifications


Competencies

  • Minimum of 1-3  years related experience
  • Excellent computer skills and proficiency with Microsoft Office
  • Excellent verbal and written communication skills to interact clearly with customers, vendors and other employees
  • Strong organization skills to keep accurate records and find important information quickly
  • Time management skills to prioritize and complete a side variety of tasks throughout the day
  • Patience and listening skills to respond appropriate and interact positively with customers or upset customers
  • Interpersonal skills to create a pleasant experience for all customers, such as being personable and attentive
  • Excellent problem-solving skills
  • Ability to work in a team environment

 

Education Requirements

Must have High School Diploma or GED

 

Safety

Strict adherence to safety requirements and procedures as outlined in the Manual of Safety Practices and Procedures.

 

Travel

No travel is expected for this position.
