The Town of South Hadley seeks a friendly, positive individual to join the Senior Center’s team as a part-time Volunteer and Front Desk Coordinator. This position serves as a welcoming ambassador, who assists participants with information and with registration for various programs and services, while helping with various projects. Overseeing recruiting, training, scheduling, and supervising volunteers is also a key responsibility of the role.
The position requires exemplary customer service, verbal and written communication skills, and the ability to interact with a diverse population of senior participants, families, volunteers and staff with empathy, tact and discretion. The position creates and maintains a professional and accessible image as the initial point of contact representing the South Hadley Senior Center in a manner that promotes a culture of community, inclusion and belonging.
Essential Functions:
- Opens the Front Desk and Senior Center.
- Interviews, trains, supervises, and schedules volunteers and keeps records for tracking volunteer hours.
- Provides coverage for Welcome Desk as necessary.
- Offers a pleasant, welcoming, and professional greeting to all incoming individuals.
- Checks in members for daily class/activity attendance and accepts payment for applicable fees.
- Answers questions for members and visitors pertaining to COA functions.
- Registers members for various fitness classes, craft, and other activities.
- Answers telephones and voicemails to address members' questions and needs. Directs incoming calls to appropriate staff members and/or takes messages.
- Enrolls new members in MySeniorCenter database, assigning a key tag for use in login to kiosk to indicate event attending.
- Monitors sign-ups for next day lunch program; provides attendance numbers to WestMass Eldercare for lunches to be delivered; documents members that were in attendance for WMEC records.
- Updates appointment sign-up spreadsheets with current and future calendar dates.
- Follow all health, safety, and emergency procedures.
- Performs other related job duties as required.
Minimum Qualifications:
The following requirements may be substituted by an equivalent combination of education, training, and experience which provides the necessary knowledge, skills, and abilities required to perform the job:
High school degree or GED
- At least two years of related work experience
- Ability to satisfactorily pass CORI check
- Current CPR/AED and First Aid certification or ability to obtain soon after hire
- Knowledge of computer and software skills and ability to learn and work with new software
- Position also helps with room set-up and requires ability to move up to 20lbs.
Status and Compensation:
This is an FLSA non-exempt, non-union, non-benefited position with an anticipated schedule of 19 hours per week during regular business hours, with an anticipated starting rate of $20.87 per hour per hour (Grade 3/Step 1).
