Summary: Under general supervision, the Administrative Assistant provides high level office management support for the Fire Department including administration, financial management and recordkeeping related to Emergency Response, Training, Fire Prevention and Public Education activities and events.
Key Responsibilities:
- Answer phones, respond to routine inquiries and complaints from the public and other departments; complaint resolution.
- Draft basic correspondence, and prepare files, forms, memos, and reports.
- Maintain office records, logs, and filing systems.
- Assist with scheduling of meetings, appointments, and events.
- Assist with budget tracking, purchasing, time and attendance processing.
- Attend departmental/staff meetings, training and conferences.
- Advises others on department procedures.
- May assist in interviewing, selection, hiring, and training of office personnel.
- Assist in the preparation and monitoring of the Local Enforcement Agency annual reports, communication on behalf of the Fire Official, prepare and generate violation notices and review inspection reports. Serve as the point of contact for office staff and Fire Inspectors during the Fire Official's absence, ensuring seamless communication and operational continuity.
Qualifications:
High school diploma or equivalent required. Minimum of three (3) years of administrative experience, preferably in a government or public-facing setting. Strong computer skills in Microsoft Office and Adobe required; possession of a Fire Inspector certification and knowledge of MSI and Primepoint is a plus. Successful candidate will possess knowledge of fire code or be willing to learn. May require off-hour availability as situations warrant.
Salary Range:
$47,695 – $77,955 includes full health benefits and participation in the state pension system.
