Who we're looking for
TFS strives to establish and promote an organizational culture and climate in which team members have the engagement, commitment, competencies and care to serve our customers well. The Executive Assistant play a critical role in establishing that desired culture and climate for the areas they support, as well as for TFS overall. As the Executive Assistant you will performs administrative duties for BTS management. Responsibilities may include screening calls; managing calendars; making travel, meeting and event arrangements; preparing reports and financial data; training and supervising other support staff; and customer relations.
What you'll be doing
As the Executive Assistant within BTS for IT Delivery and Infrastructure Services, you will:
Manage and maintain the calendar and schedule of BTS management team
Schedule and coordinate meetings, lunches, Supplier/Vendor touch points, and other events as required.
Compile requisite information for meetings, including agenda, when appropriate
Coordinate and schedule weekly departmental meetings, skip level meetings and team building events
Respond to contacts, as directed, in a timely and courteous manner, and provide information and assistance as necessary. Exercise discretion
Prepare travel arrangements & expense reports online
Reserve conference room, set up for meetings and arrange for necessary catered meals.
Administer and reconcile various department purchases and spend requests.
Create Word, Excel and PowerPoint materials as identified, assist with departmental presentations
Facilitate the weekly IT Delivery Leadership Meeting Agenda
Maintain IT Delivery organizational charts.
Coordinate new hire/contingent/consultant setups
Administer surveys, compile results
Assist department managers and associates as requested
Other tasks as requested
What you bring
Previous experience as an Executive Assistant.
Strong computer and Internet research skills
Exceptional verbal, written, and interpersonal communications, along with the ability to communicate thoughts, ideas and concerns effectively
Proactive, self-starter and independent.
Must be a team player
Strong organizational skills and with exceptional attention to details
Proven ability to effectively interface at all levels of internal management and staff, outside clients and vendors
Ability to solve complex problems, work independently to complete assigned tasks.
Project coordination experience
Sensitivity to confidential matters may be required
