JOB DESCRIPTION: We are seeking a highly organized and proactive Office & Business Administrator to support daily office operations of a telecommunications company. Primary responsibilities include contract management, project tracking, progressing billing and financial reporting of structured cabling projects and activities. This role will also be responsible for handling and review of telecommunications diagrams and blueprints, managing outside plant documentation, and supporting contractor requirements using various software applications such as CAD, Adobe, SharePoint and Excel.

EDUCATION:
- High School Diploma or GED Equivalent. (Documentation must be attached.)
SKILLS:
- Must be proficient in reading and interpreting technical blueprints.
- Must be proficient in generating, editing and managing PDF documents using Adobe Acrobat.
- Must have strong written and verbal communication skills for clear interaction with internal teams and external vendors.
- Must have working knowledge of organizing, filing, and managing various documentation, including contracts, and project records.
- Must have the ability to generate detailed reports related to asset management, maintenance renewals, and purchase orders.
- Must have skills in tracking and updating contracts, and purchase orders to ensure accuracy and compliance.
- Must have skills in modifying, and annotating drawings and designs in AutoCAD software for blueprint review and minor adjustments.
- Must have skills in using Excel, including advanced functions. Candidate may be Excel tested for proficiency through an outside agency.
EXPERIENCE:
- Must have a minimum of five (5) years of experience in administrative or project support roles, including document management, data analysis, and vendor coordination.
- Proven ability to coordinate multiple projects, ensuring timely completion and budget compliance.
- Proven ability in Excel, including advanced functionalities for data management, financial tracking, and reporting.
- Hands-on experience with CAD software for reviewing and editing telecommunications diagrams, blueprints, and structured cabling schematics to assist in project planning and execution (preferred).
- Experience with billing processes, including invoice reconciliation, budget tracking, and ensuring billing accuracy for infrastructure projects.
- Demonstrated ability to organize and maintain project documentation, including procurement records, contracts, and compliance reports.
- Experience in coordinating with vendors, contractors, and internal teams to streamline procurement, project execution, and infrastructure deployment.
- GIS software familiarity for geographic data handling and mapping (preferred).
- Familiarity with telecommunications and infrastructure project workflows and industry standards.
OTHER REQUIREMENTS:
- Must have successful employment history with the Tulalip Tribes and/or other employment entities.
- Must have a successful background check (No criminal or drug related activity).
- Must be able to work independently and meet deadlines and work under pressure.
PHYSICAL CHARACTERISTICS AND/OR PREREQUISITES:
- Must be 18 years of age or older (attach documentation with application)
- Must have a valid Washington State Driver’s License (attach copy)
- Must be authorized to permanently work in the United States without sponsorship
- Manual and finger dexterity for the operation of a personal computer and routine paperwork
- Stamina to sit, stand, and/or walk for prolonged periods of time
- Tolerance to be exposed to computer screens for prolonged periods of time on a regular basis
- Mobility to bend, stoop, and/or climb stairs on an occasional basis
- Ability to lift and carry 40 lbs. on a frequent basis
SPECIFIC JOB PERFORMED:
- Track and manage and procurement records to ensure compliance and timely processing.
- Handle telecommunications diagrams, blueprints, and technical documents, ensuring accuracy and accessibility for project execution.
- Support progressive billing processes by tracking financial transactions, verifying billing accuracy, and maintaining compliance with project budgets.
- Communicate with personnel, customers, various outside agencies, and the public to exchange information, coordinate activities, and resolve issues or concerns.
- Import, analyze, and manage data for use in reporting software, spreadsheets, and visual data representations such as graphs and flowcharts.
- Assist in the creation, managing, tracking, and maintenance of all project-related documentation ensuring timely updates and accurate documentation.
- Manage vendor communications and coordinate procurement-related activities, including obtaining quotes, placing orders, and tracking updates.
- Utilize Excel and CAD for data analysis, reporting, and modifying technical documents to support project execution.
- Perform additional administrative duties as required to support project objectives.
TERMS OF EMPLOYMENT:
This is a Regular Full-time position, requiring at least 40 hours per week, or 2080 hours per year. Employee may be required to work after hours, weekends, special events and/or on call. Employees will be required to work on-site, no telecommuting. No provisions for relocation will be provided.
