Two Dudes Painting Company is looking for a proactive and detail-oriented Operations Assistant to help power the day-to-day coordination that keeps our jobs, people, and supplies moving in sync. This is a dynamic role that combines administrative precision, logistical coordination, and a front-line communication presence—both for our internal team and external customers.
This isn’t just an admin job. You’ll be part of the engine room of our operation, keeping schedules up-to-date, calls flowing, documents organized, and job info entered into systems like HubSpot. You'll interact with multiple departments and serve as a central hub of support to field and office teams alike. You’ll also assist with warehouse activity and occasional jobsite coordination, so flexibility and initiative are key.
This is a safety-sensitive position, and we’re looking for someone who’s open to getting forklift certified (we’ll provide the training!) and is comfortable lifting items and moving between the office, warehouse, and jobsite areas when needed.
What You’ll Be Responsible For
Customer & Communication Support
- Serve as our internal call center, answering a high volume of incoming calls with professionalism and warmth
- Manage live chat, phone transfers, and help direct customer questions or team needs to the right person quickly
- Inform customers of schedule changes and support consistent communication across departments
- Greet guests and receive deliveries at the front office
️ Operations & Scheduling Support
- Place paint and material orders for job sites
- Coordinate parking permits, delivery of portables (e.g., jobsite toilets), and other logistical needs
- Enter and update project information in HubSpot
- Assist with daily scheduling visibility for Operations and Project Managers
- Assign and track weekly safety lessons for field teams
Administrative Tasks
- Create and maintain onboarding/orientation folders
- Support document translation (English/Spanish) when needed
- Digitally organize documents through scanning, shredding, and labeling
- Prepare presentations and print materials as requested
- Keep snack supplies and office inventory stocked and organized
Office & Inventory Oversight
- Monitor, label, and maintain office and uniform inventory
- Help prepare uniforms and onboarding materials for new hires
- Support the upkeep of the Safety Loft and onboarding zones
- Assist with basic warehouse pickups, deliveries, or restocking when needed
✅ What You Bring to the Team
- 2 years of experience in administrative, operations, or coordination support roles
- Excellent phone etiquette and verbal communication—you’re the voice people trust
- Ability to manage multiple tasks with calm focus and attention to detail
- Confidence using tools like Google Workspace and Microsoft Office
- Experience (or readiness to learn) HubSpot or similar CRM/scheduling tools
- A collaborative, respectful, and flexible attitude—no task is too small
- Willingness to obtain forklift certification (training provided)
- Bilingual in English and Spanish is a plus
- High school diploma or equivalent required
