DISTINGUISHING FEATURES OF WORK: Under direction, the Secretary III performs skilled and varied secretarial and clerical work as well as functions for the principal at either a middle, larger elementary, continuation school or adult education and performs related work as required. This is an intermediate level position requiring considerable previous experience and training. The position requires a greater degree of administrative and technical skill. The Secretary III may also perform duties assigned other clericalstaff.
ESSENTIAL DUTIES AND RESPONSIBILITIES: Duties and responsibilities may include, but are not limited to, the following: Provides information to students, staff and the public where judgment, knowledge and interpretation of procedures and regulations are necessary Interprets rules and regulations to students, teachers and parents and attempts to resolve problems which arise Undertakes and carries forward a variety of projects requiring considerable judgment and initiative Maintains confidential files and other files and records Investigates and researches matters as necessary Monitors staff attendance Enrolls and transfers students; updates certain information on students cumulative records; processes student records and discipline forms Attends meetings; takes notes; prepares minutes Composes letters, newsletters and memos independently or from oral direction. Prepares routine reports Orders, receives and distributes supplies Schedules events, conferences, or other functions Maintains petty cash funds; monitors budgets andaccounts Operates standard office equipment, including computers Under the supervision of the school nurse, administers first aid; may administer medication, care for ill children and perform head lice checks, etc. Monitors student behavior Coordinates work of other clericalstaff Perform other related duties as assigned
QUALIFICATIONS /REQUIREMENTS: KNOWLEDGE OF: Computer applications, including word processing, spreadsheets, databases, etc. Proper English grammar, spelling and punctuation Modern office practices and procedures Principles of office management Telephone techniques
ABILITY TO: Organize a heavy workload and to successfully complete a wide variety of duties while undergoing constant interruptions Ability to analyze problems and accurately adopt an effective course of action. Demonstrate proficiency in the operation of computers and software programs. Collect data and prepare reports Type/keyboard with speed and accuracy Work independently without supervision. Communicate with others in a tactful, polite manner Work with others cooperatively as part of a team Coordinate the work of others Learn school rules, policies and procedures Make arithmetical calculations quickly and accurately Understand and carry out oral and written instructions Accurately disburse monies and to track and maintain records of site program funds. EDUCATION/CERTIFICATION/CREDENTIALING: A high school diploma or equivalent. Desired: three years of responsible clerical experience Provide evidence of keyboarding speed and accuracy
WORK ENVIRONMENT/PHYSICAL DEMANDS: Speak, read and understand sufficiently to successfully receive/provide information to/from students, supervisors, co-workers, the public, etc. Work under pressure to complete a variety of written reports within specific timelines Sufficient coordination and dexterity to operate school office equipment (includes computers, terminals, printers, copiers, etc.) as required by the position Perform all duties listed on the job description which are marked asessential
