Job Overview
The Receptionist is a professional who is the first point of contact that will greet, assist, and provide direction and information to clients, visitors, and other guests of the organization. They greet all who come into the office, answer phones, receive and deliver mail, assist with maintaining and ordering office supplies, and provide general administrative support to the office staff. The ideal candidate will have excellent communication and organizational skills, a professional demeanor, and the ability to multitask. The Schedule for the Receptionist position is Monday- Friday 8:00am to 4:30pm.
Receptionist Responsibilities and Duties (Essential Job Functions)
Front Desk Management
· Answer, screen, and direct all incoming calls to the appropriate departments or personnel.
· Greets clients, visitors, and guests; determines the purpose of each person’s visit and directs or escorts him or her to the appropriate location.
· Maintain a clean and organized reception area.
Administrative Support
· Manage and distribute incoming and outgoing mail and packages.
· Assist with scheduling appointments and meetings
· Answer questions and address complaints.
· Provide administrative support to various departments as needed.
· Monitor office supplies and place orders when needed.
· Assist with making travel arrangements as needed.
Client Interaction
· Respond to client inquiries and provide information about company services.
· Direct clients and visitors to the appropriate personnel or meeting rooms.
· Ensure a positive and professional experience for all clients and visitors.
Office Coordination
· Assist in organizing company events, meetings, and training sessions.
· Support the HR department with HR-related tasks.
· Handle sensitive information with discretion and maintain confidentiality at all times.
· Exhibit a professional demeanor and appearance, representing the company positively.
· Manage Office PTO calendar
· Any other duties that may come up
Receptionist Qualifications:
· Must be 18 years or older and have a high school diploma, or General Equivalency Diploma, or GED.
· Prior experience with Microsoft Office and typing is preferred.
· Excellent communication, interpersonal skills, and customer service skills.
· Organized and resourceful.
· Active listener that can demonstrate sensitivity and understanding.
· Must be able to work independently.
· Good telephone communication etiquette.
· Attention to detail.
· Must be able to lift to 30 lbs. at a time.
· Familiarity with office machines (e.g., fax, printer etc.).
Essential Functions: Must be able to use hands to finger, handle or feel; reach with hands and arms; talk; hear; sit; stoop; kneel; crouch or crawl; climb or balance; stand; walk; lift or move up to 30 pounds and occasionally lift or move up to 30 pounds; work overhead and in cramped quarters. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
