Reports to: School Principal
DUTIES AND RESPONSIBILITIES
- Maintain operational and communication link between the department staff and the district.
- Manages the reception area to ensure effective telephone and mail communications both internally and externally to maintain professional image.
- Help coordinate the work flow of the office.
- Negotiates the purchase of office supplies, furniture, office equipment, etc., for the department in accordance with company purchasing policies and budgetary restrictions.
- Help with work orders, helping to maintain the inflow and outflow of services, helping arrange for repair and maintenance of office equipment
- Record minutes of departmental meetings and other IT meetings when asked
- Assist with the upkeep and publication of the department policy and procedural manuals and other technical documentation
- Assist with the upkeep and publication of the safety manual – record drills, help inspect equipment, etc
- Inventory: receiving, labeling, and helping to maintain inventory of appropriate departmental supplies and equipment
- Coordinate deliveries of merchandise
- Receiving/sorting mail and other communications
- Creating and maintaining office documents such as purchases requisitions, analysis/reports data sheets, etc
- Responsible for recording departmental leave time (vacation, sick and personal).
- Interact with vendors and district stakeholders to track and schedule department appointments
- Help with public relations and communication with stakeholders
- Maintains a record of finances for the department; payroll, purchase orders, etc
- Support the departmental staff in other activities as assigned
- Participates as needed in special department projects
QUALIFICATIONS AND SKILLS
- Knowledge of clerical and administrative procedures and systems such as filing and record keeping
- Knowledge of principles and practices of basic office management
- Effective technical and communication writing skills
- Ability to operate basic office equipment such as computers, copiers, printers
- Demonstrated organizational and interpersonal communication skills
- Ability to maintain confidentially in all aspects of the operations of the department
- Ability to interact with and understand group dynamics
- Ability to carry out oral and written communication with a minimum of supervision
- General knowledge of computer skills and knowledge of relevant software
- Ability and willingness to continue education and training necessary to maintain highest level of quality service and support
PHYSICAL DEMANDS
- While performing the duties of this job, the employee is regularly required to talk or hear with background noise.
- Frequently required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms.
- This position requires the ability to occasionally lift office products and supplies, up to 25 pounds.
