Position Summary
The Gift Processing Specialist primary function is receiving, recording, receipting and depositing gifts to the University in a timely, accurate and efficient manner. In addition, this position is also responsible for maintaining current and accurate biographical information in the University Advancement’s database, and maintaining the gift/pledge filing system. Reconciling gift reports, preparing matching gift forms and handling telephone and other inquires pertaining to gifts in the database.
Essential Duties and Responsibilities
Primary Functions
Gift Processing
- Entering gift information into University Advancement’s database.
- Balance gift entries and bank deposits.
- Liaison to payroll office in establishing, entering, maintaining payroll deductions.
- Complete daily batches within a specified time frame.
- Set-up new fund according to the General Ledger.
- Enter biographical changes from gift/pledge information.
- Research gift information for proper gift entry.
- Work with the development staff/auditors to provide necessary information.
Gift Reporting
- Prepare standard monthly reports.
- Prepare special reports as needed (e.g. VSE).
- Analyze and reconcile gift reports
Gift Documentation/Filing
- Create and maintain all gifts related forms (e.g. documentation with gift).
- Create and maintain gift related policy & procedure manual.
- Maintain all Primary files for Gifts/Pledges copies of checks and all gift documentation(retain CYE and FYE).
Responsibilities
- Enter data in the University Advancement database accurately, timely and efficiently.
- Communicate workload status to the supervisor.
- Prioritize task base on established department and organization priorities.
- Perform job duties independently with light supervision.
- Recommendations for process improvements
Requirements
Minimum Qualifications
- Education – A two-year college degree or completion of a specialized course of study at a business or trade school or 18 months to four years of work experience in a related field.
- Experience – Two years to five years (Equivalent combination of educaion and employment)
Preferred Qualifications
Prefer knowledge of Raiser’s Edge/NXT software. Prefer 1-2 year of database management in higher education.
Knowledge, Skills, and Abilities
Knowledge of Microsoft Office 365, Data Entry (Strong keyboarding), Excellent customer service skills, Good communication (Oral and written), and organizational skills. Ability to work in a diverse setting. Ability to work under deadlines pressure and keep attention to detail and accuracy. Ability to multi-task and meet deadlines. Ability to work independently. Ability t work as a team member.
Physical Requirements
Job may require lifting light weight objects (1 to 10 pounds) with no repetitive bending or stooping. Occasionally lift average weight objects (1 to 10 pounds).
Work Environment
Regular exposure to favorable conditions such as those found in a normal office.

Commensurate with experience
Anticipated Schedule
Monday to Friday 8.30 AM to 5.00 PM
