UCI Beckman Laser Institute & Medical Clinic inventions include new laser therapies for diseases that were previously untreatable, improving lives for tens of millions of patients worldwide.




Your Role on the Team

The Associate Director of Administration of the Beckman Laser Institute (BLI), Office of Research, is responsible for independent and proactive decision-making to provide comprehensive administrative support services to client faculty, other internal stakeholders, and external collaborators. Responsible for managing the administrative operations of a unit Typically includes all or most of the following functions: IT, facilities, student services, contracts and grants, budgetary financial management and / or human resources. Manages a professional staff, typically large, and / or comprised of professionals in various fields. Assumes accountability for decisions made by subordinates. Performs long and short-term planning for function. Erroneous decisions or failure to achieve goals results in additional costs and personnel, and serious delays in overall schedules. In the absence of the BLI Director, acts as Manager On Duty.


What It Takes to be Successful

  • Broad knowledge of the organization's processes, protocols and procedures employed by institutions of higher education with a focus on budget, account and fund management and / or personnel management under labor contract(s) and personnel policy. Required
  • Broad knowledge of financial analysis and reporting techniques; human resources and risk management planning; and / or accounting and payroll. General knowledge of accounting principles and general financial management practices to be able to distinctions between gifts, grants, and contracts. Required
  • Strong verbal and written communication skills; ability to influence / persuade all levels of staff, with excellent interpersonal and communication skills to interact effectively with a variety of people at all organizational levels within and outside the UCI/BLI. Required
  • Skills in organization and customer service to effectively manage multiple important priorities. Proven ability to organize department work functions in an efficient and effective manner to support the mission of a major research and teaching university, including knowledge of the research environment and general infrastructure, as well as its ancillary public service and patient care missions. Required
  • Broad knowledge of common organization-specific and other computer application programs and someone with ability to represent the Beckman Laser Institute’s core technological areas of expertise, interests, and strategic mission to the scientific, corporate and philanthropic communities. Required
  • Skills to work collaboratively with others. Strong management, organizational and leadership skills in order to implement plans that meet programmatic needs, through the supervision and maximization of a varied and diverse workforce. Required
  • Proven skills and ability to quickly evaluate complex issues, identify multiple options for resolution, and to execute long-range plans that include financial commitments for capital expansion projects, facilities renovation and capital equipment purchases. Required
  • Demonstrated management and conflict resolution skills to effectively lead and motivate others in order to respond thoroughly and proactively to the BLI’s needs in ways that meet the objectives and goals which further its academic/research mission. Required

Required:

  • Bachelor's degree in related area and / or equivalent experience / training
  • A minimum of 10 years of experience. Previous experience leading or supervising a team. • Minimum 10-15 years progressively responsible experience in an administrative management role in business or higher education.
