Job Summary Supports the Operations and Global Program Management team managing client relations from initial contact through close of program execution, processing client registration and requests for information and faculty relations. Provides high-level support to the global program management teams. Working with the Global Program Management team, the Operations Associate facilitates inter-office alignment on faculty and client information details utilizing superior communication skills and traceable documentation. Attention to detail is imperative to fulfill evolving faculty, client and staff needs. Responsibilities Acts as the owner and primary point of contact for the global program management team to organize, coordinate and execute logistics related to the delivery of programs. Collaborates with members of the Operations and Global Program Management team to assist with the delivery of programs to clients and participants. Responsibilities include setting up and presenting materials for registration, printing program materials, program material inventory, aggregating and analyzing program evaluations, fulfilling client, faculty and participant requests, and managing classroom needs (opening and closing programs). Supports online sessions, delivered primarily via the Zoom platform. This includes serving as a host for virtual sessions, sharing documents and videos, administering polls, coordinating break out rooms, monitoring attendance, and facilitating communication with faculty and participants to ensure a smooth delivery. Acts as an ambassador for Booth and a resource for clients and participants before, during, and after attending programs. Ensures compliance with relevant Booth, University and other policies and guidelines. Interacts with prospective clients and participants, being informative on Executive Education program offerings; must be well versed and up-to-date on all course objectives and schedules. Program schedules vary across programs. Flexibility to work early mornings, evenings and weekends (as needed) required. As a team player, represents the brand and proactively collaborates with manager, teammates and faculty to ensure the success of Executive Education and Chicago Booth overall. Prepare special reports and summaries, assists in managing daily operation of the office, and may assist in developing administrative goals and policies. Maintains the leader's calendar. Coordinates special projects as directed by the leader. Prepares write ups for recommendations for operational and administrative problems. Manages a portion of the leader's budget, monitoring and reconciling accounts. Prepares financial and/or administrative reports. Performs other related work as needed. Minimum Qualifications Education: Minimum requirements include vocational training, apprenticeships or the equivalent experience in related field (not typically required to have a four-year degree). --- Work Experience: Minimum requirements include knowledge and skills developed through 5-7 years of work experience in a related job discipline. --- Certifications: --- Preferred Qualifications Education: Bachelor’s degree. Technical Skills or Knowledge: Computer proficiency in Microsoft Office Suite. Comfort with Zoom or Microsoft Team meetings functions. Preferred Competencies Work independently and as part of a team. Achieve objectives with minimal direction. Demonstrated ability to prioritize own work and multi-task; strong project management skills and attention to detail. Work as a sole contributor as well as collaborate with others in a cross-functional team environment. Cultural sensitivity, DEI awareness and strong emotional intelligence. Excellent communication skills including verbal, written and presentation. Routinely and independently exercise sound judgment and creative problem solving skills in making decisions. Comfort with technology, including the ability to maintain a calm and assuring composure when technical glitches occur. Work under pressure and on multiple projects simultaneously, set priorities, and meet deadlines consistently. Working Conditions This position is expected to work in the office.
