Duties and Responsibilities:- *Research and place orders for a variety of library materials including, but not limited to, monographs, microforms, print materials, DVDs, and serials.
- *Research various vendor and publisher materials in order to ascertain the most economical and efficient method of acquiring materials for the library.
- *Analyze and ascertain the appropriate bibliographical record to import by utilizing Online Computer Library Center via the library's integrated library system (Ex Libris).
- *Monitor past orders with the purpose of claiming for ordered materials that have not been received within an appropriate time frame.
- *Review and authorize payment of invoices for monographs, tracking and adjusting invoices for currency exchange, credit memos, etc., as necessary.
- *Review and update select library collections (study aids, reserve, Law Library Textbook Kokua) on an annual basis.
- Participate in training sessions to be cross-trained in other Technical Services duties.
- *Independently review, analyze and resolve problems and discrepancies related to invoicing, claiming and providing proof of payment to vendors as appropriate.
- *Review pending monograph invoices for accuracy and policy compliance; prepare invoices for payment via the Library's acquisition module of Ex Libris' Alma system as well as the University's Kuali Financial System (KFS).
- *Determine appropriate payment processing of routine invoices through purchase orders, direct payment documents, contract payment, and library fund accounts.
- *Prepare and process library purchase requisitions and purchase orders, including securing necessary information from library staff and formatting documents for final submission.
- Verify statement records from vendors, ensuring that items listed can be verified and reconciled.
- *Oversee the binding of serials and other materials by a commercial binder, which includes verifying the proper preparation of materials by student assistants, on an as-needed basis.
- Train and oversee student assistants in the gathering and preparation of materials being sent to the bindery as well as the receiving and processing of materials upon their return.
- Train and oversee student assistants in the initial receival and preparation of monographs for review by the Library Director.
- *Maintain various records in order to compile monthly statistics of acquired and de-acquisitioned materials for reporting purposes.
- *Oversee the Government Documents that are acquired from the Government Printing Office including the training and oversight of student assistants in the processing of these materials as well as the preparation of submitting various titles to the Government Printing Office's Needs and Offers list.
- *Maintain various records in order to compile statistics, prepare reports relating to the updating and withdrawal of materials in conjunction with the Regional Government Documents Library.
- Other duties as assigned.
Minimum Qualifications:
Education and Professional Work Experience- Possession of a baccalaureate degree in liberal arts or related field and 1 year(s) of progressively responsible professional experience with responsibilities for library technical services operations; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.
- Functional knowledge of principles, practices and techniques in the area of library operations demonstrated by knowledge, understanding and ability to apply concepts and terminology.
- Functional knowledge and understanding of principles, theories, federal and state laws, rules, regulations and systems associated with library operations.
- Demonstrated ability to recognize problems, identify possible causes and resolve the full range of problems that may commonly occur in the area of library technical services operations.
- Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively in a variety of situations.
- Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals.
- Demonstrated ability to operate a personal computer and use word processing software.
- Demonstrated professional time management skills and track record for meeting professional deadlines.
- Demonstrated ability to maturely receive and incorporate feedback.
- Prior technical and acquisitions library experience in an Institution of Higher Education, preferably in a Law School Library.
