Department Summary
University Centers and Events (UCE) encompasses the University Union, Gateway Center and Coliseum. University Centers and Events (UCE), provides quality programs, services, and facilities that enhance the educational experience and create a community for students, faculty, staff, alumni, and guests. We assist students to become good citizens of a global community, prepared to function in a diverse world.

The Coliseum is a multi-use arena that is home to the North Texas Men's and Women's basketball teams. In addition to hosting all home games, the Coliseum hosts UNT Commencements, high school commencements, concerts, cheer and dance competitions and many other events.

The Gateway Center features 28,000 square feet of meeting spaces and classrooms, including a 7,000 square foot ballroom. Many memorable events have been hosted in the Gateway Center including weddings, banquets and conferences.
Position Overview
This position will work with clients in planning and executing all aspects of their events. This position will work with relevant event management and diagram software. This role will also coordinate with relevant internal and external stakeholders to accomplish the work, including but not limited to dining, parking, athletics, and vendors.

Minimum Qualifications

Bachelor's Degree and two years of professional experience related to event planning; or any equivalent combination of education, training and experience.

* Knowledge of safety and security precautions appropriate to work performed.

Job Duties

o
Event Planning: Responsible for coordinating all events details, including needs for space and setup. Establishing event reservation details with clients and coordinating details with other campus service providers as applicable. Making arrangements with any third party services, including estimate, delivery times, set-ups, and pick up times.
o
Communication and Customer Service:
1) Works in harmony with others through active, positive, and courteous interactions with faculty, staff, students, and patrons.
2) Cooperates with coworkers to accomplish work efficiently and effectively.
3) Conveys policies and procedures relative to event management and risk management guidelines.
o
Safety:
1) Completes all work using safe work habits and methods to prevent injuries.
2) Uses equipment properly and in the manner required or directed.
3) Keeps all equipment in good working order and follows storage procedures.
4) Reports any unsafe acts or condition to their supervisor immediately.

o
Financial :
1) Provides reservation deposit requirements and deadlines to clients.
2) Communicates payment policies.
3) Ensures timely and accurate billing.
4) Process credit card payments when applicable.

o
Technology:
1) Is proficient in the Event Planning and Space Management software provided.
2) Is proficient in Microsoft office products such as Word and Excel.

o
Event Execution:
1) Meets with clients on the day of the event to ensure their needs are met.
2) Facilitates on-site transitions to day of event service providers.
3) Troubleshoots and executes changes that may need to be made.

o
Assessment and Reports:
1) Collect post event feedback from client as well as other service areas.
2) Run event specific reports as requested.
3) Utilize event software reports as a job tool.

o
Knowledge:
1) Understands relevant university and departmental policies and procedures
2) Follows the event input processes established by the department to ensure consistency and accuracy.
