Essential Functions
These are the job duties required of the position.
Essential Functions
- Performs registration and confirmation of student in study abroad courses.
- Works with various departments and administrative offices to build courses in Banner.
- Ensures accurate class and program rosters and grade sheets for students in summer programs.
- Performs database management including overall management of Studio Abroad enrollment and application system.
- Maintains student files including application approvals in Studio Abroad and follow up communication.
- Oversees the transcript and evaluation process for students’ study abroad on all affiliate, direct enroll or international exchange programs: this includes handling the transcript from point of origin throughout process until posting of credits and requires individual student memos to the Registrar’s office indicating the course abroad, the pre-approved course equivalency and the grade.
- Keeps track of payments made for programs to Student Accounting and updating them in Studio Abroad.
- Monitors program statistics, totals end of year figures and compiles national and university reports.
- Works with International Admissions in overseeing the visiting International Exchange student process.
- Utilizes Banner to schedule courses, view student records and accounts and maintain office functions as needed.
- Registers USA outbound study abroad students in the OIE mandatory insurance policy and disseminates information related to the policy to students and other offices on campus as well as reconciling accounts and payments with the insurance policy holder.
- Manages the Dean of Students review and approval process for all USA students going abroad which includes sending reports to the Dean of Students office, verifying approval in Studio Abroad and communication with overseas advisors.
- Assists with the coordination and planning of overseas delegations as needed.
- Assists with international agreements.
- Assists the executive director with Concur reports – travel requests, travel expenses, procurement reports and invoices and serves as delegate/reviewer as needed.
- Makes space and equipment reservations for all events.
- Maintains and orders supplies.
- Manages front desk, office automation, scheduling and all appointment and advising records
- Supervises student assistants to include assigning duties, checking work, approving timesheets, and Electronic Personnel Action Forms.
- Regular and prompt attendance.
- Ability to work schedule as defined and overtime as required.
- Related duties as required.
