Position Overview
UWLA seeks an experienced and highly organized Director of Administration to lead institutional projects and complex administrative initiatives that advance the University's strategic goals. This leadership position emphasizes project planning and execution, cross-departmental coordination, process improvement, and outcomes-based accountability. The Director partners closely with executive leadership and campus stakeholders to drive operational excellence and ensure timely, compliant, and well-documented results across administrative functions.
Key Responsibilities
Project Leadership & Delivery
· Lead and manage University-wide administrative and operational projects from planning through completion, including scope, schedule, deliverables, and stakeholder communication.
· Develop detailed project charters, timelines, work plans, and status reports; track risks, dependencies, and milestones.
· Facilitate project meetings, capture decisions, and drive accountability for action items.
Cross-Functional Operations & Process Improvement
· Partner with academic and administrative departments to streamline workflows, eliminate bottlenecks, and standardize processes.
· Develop, implement, and maintain Standard Operating Procedures (SOPs) that promote accuracy, compliance, and efficiency across offices.
· Use metrics and feedback loops to evaluate process performance and recommend data-informed improvements.
Executive & Strategic Support
· Provide direct operational support to the President and senior leadership, including project tracking dashboards, briefing materials, and executive correspondence.
· Coordinate high-priority initiatives, Board-related materials, and special assignments at the direction of the President.
· Prepare summaries, reports, and recommendations that support institutional decision-making.
· Ensure adherence to institutional policies, accrediting requirements, and applicable state/federal regulations.
· Maintain organized administrative records, project files, and compliance documentation in approved platforms (e.g., Egnyte, secure shared drives).
· Support periodic policy review, update cycles, and communication rollouts.
· Assist with project and administrative budgeting; monitor expenses and report variances.
· Coordinate vendor engagements, agreements, and renewals in support of project deliverables and operational needs.
· Identify opportunities for cost savings, technology adoption, or process efficiencies.
Event & Milestone Support
· Plan and coordinate logistics for major institutional events, including Board meetings, strategic retreats, and commencement/convocation activities.
· Manage project-related event timelines, task lists, and stakeholder communications.
· Ensure post-event debriefs and documentation of lessons learned.
Team Leadership & Collaboration
· Lead, mentor, and coordinate work of administrative staff and project contributors; promote a collaborative, service-focused culture.
· Provide coaching on project management tools, documentation standards, and communication best practices.
· Model professionalism, discretion, and accountability.
Qualifications
· Bachelor’s degree in Business Administration, Project Management, Public Administration, or related field required.
· Master’s degree preferred.
· Minimum 5 years progressive experience in project management, administrative leadership, or operations. Higher education or nonprofit experience strongly preferred.
· Demonstrated success managing multiple concurrent projects with complex stakeholder groups.
· Strong analytical, organizational, and problem-solving skills; able to translate strategy into action.
· Excellent written and verbal communication skills; executive briefing experience a plus.
· Proficiency in Microsoft Office Suite; familiarity with project management tools (e.g., Smartsheet, Asana, MS Project, Monday.com) desirable.
· Ability to lead teams, drive accountability, and maintain confidentiality and discretion.
Physical & ADA Requirements
· Sitting: Ability to sit for extended periods (6–8 hours daily) for meetings and computer work.
· Standing/Walking: Occasional standing and walking for meetings and events.
· Lifting: Ability to lift and carry up to 20 lbs occasionally (documents, supplies, light equipment).
