Job Summary:

The Division Administrator is accountable for the administrative functions, financial management, planning and operational affairs of the Division of Geriatrics and Gerontology. The Division Administrator has all the duties and responsibilities of a senior financial manager and a business operations manager for the division. As the financial manager of the Division, the Division Administrator is accountable for all areas of the financial planning and management.

As the business operations manager of the Division, the Division Administrator is accountable for the overall operations of the Division, which includes support services, facilities, purchasing and inventory, information systems and security, patient safety, compliance, medical education, human resources/academic affairs, clinical and clinical outreach and marketing. The Division Administrator serves as a senior advisor to the Division Head, providing financial guidance, background information, and management advice and providing counsel to faculty and staff concerning administrative processes associated with patient care, teaching and research activities.

Responsibilities:

Oversees the administrative operations, financial management/planning, and operational affairs for an academic and/or clinical practice unit within a department. Develops and directs the long-range strategic business plans for the unit to ensure achievement of established goals and effective management of administrative operations. Manages many budgets and supervises staff.
  • 5% Oversees professional billing and monitors revenue cycle processes in collaboration with leadership to ensure accurate and timely processing and compliance with federal, state, and organizational policies
  • 15% Exercises supervisory authority, including hiring, transferring, suspending, promoting, managing conduct and performance, discharging, assigning, rewarding, disciplining, and/or approving hours worked of at least 2.0 full-time equivalent (FTE) employees
  • 15% Develops, manages, and monitors unit budgets
  • 5% Designs, implements, and monitors financial management policies and procedures to ensure compliance with established rules and regulations
  • 15% Oversees financial planning, budgeting, and accounting functions of academic and professional clinical care operations and research portfolios
  • 10% Directs and serves as advisor to leadership regarding policy improvements and resource allocation to assist with daily operations
  • 15% Serves as a senior advisor to executive leadership and a unit liaison disseminating information and providing financial, human resource, and operational guidance regarding administrative processes
  • 5% Provides leadership, guidance, and management of the department's clinical, research, teaching and service programs and staff to ensure efficient and effective operations
  • 5% Provides oversight and management of office, research, and clinical space and equipment on and off campus, division information systems, and regional network development
  • 5% Assists in the development of strategic and short-term planning processes, and facilitates the obtainment and validation of data needed for strategic decision-making
  • 5% Serves as primary liaison to William S. Middleton VA Hospital for recruitment, compliance and operational activities of the division.

Education:

Required
Bachelor's Degree

Master's degree preferred.

Qualifications:

A minimum of 6-8 years of experience in an academic medical center, health care environment and/or research environment with demonstrated success in the management of complex programs, activities or units is required.

Supervisory and budget development/management experience is required.

Experience in clinical operations and planning is preferred, as is experience with Federal research funding.

This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location.

Salary:

Minimum $135,000 ANNUAL (12 months)

The starting salary for the position is $135,000 but is negotiable based on experience and qualifications. Additional Information:

University sponsorship is not available for this position, including transfers of sponsorship. The selected applicant will be responsible for ensuring their continuous eligibility to work in the United States (i.e. a citizen or national of the United States, a lawful permanent resident, a foreign national authorized to work in the United States without the need of an employer sponsorship) on or before the effective date of appointment. This position is an ongoing position that will require continuous work eligibility. This position requires an individual who is organized; works well under stress, and can juggle competing priorities and deadlines. The position demands a flexible schedule and the ability to work long hours due to workload and deadlines as necessary. This position may be required to attend meetings and respond to questions outside regular workdays and hours, including weekends. Meetings occur at multiple locations on and off campus and with external stakeholders.

This position requires excellent communication skills and awareness of ethical and political ramifications of decisions. A grasp of the overall mission and objectives of the department within the UW School of Medicine and Public Health and UW Health is essential. The individual must be self-motivated, and able to work collaboratively as well as independently. The Division Administrator is in a highly visible position, often standing in for the faculty leadership on strategic decision-making forums. The long term success of the Division is dependent on the Division Administrator overseeing the finance, operations, clinical, research and educational programs of the Division.
