What are the responsibilities and job description for the Administrative Coordinator position at unm?
The Office of the University Secretary (OUS) is headed by the Secretary of the University and reports directly to the Provost. OUS is a main source of continuity in faculty government. The leadership of the faculty, the Faculty Senate, the Senate Operations Committee, the Committee on Governance, and the Academic Freedom and Tenure Committee rely on the information and advice from the University Secretary. The office also provides administrative support to the 19 standing faculty committees and various ad hoc committees. OUS is responsible for Commencement, the campus-wide graduation ceremony for all students, held in the Spring and Fall of each year and first year convocation in August.
The Administrative Coordinator coordinates, oversees, and/or performs a wide variety of administrative and program support activities on behalf of the University Secretary. The Administrative Coordinator will be responsible for the budget, committee support, and assistance with formal academic ceremonies. Additional responsibilities include:
- Monitoring and coordinating accounting activities, and preparing internal reports for management.
- Purchasing.
- Participating in budget planning.
- Gathering, entering, and/or updating data to maintain departmental records and databases and maintaining files and records for the office.
- Serving as a primary point of direct administrative contact and liaison with other offices, individuals, and external agencies.
- Organizing and facilitating meetings, including scheduling meetings and taking meeting minutes or notes for governance committees.
- Composing and preparing written documentation and correspondence for the office; screening and evaluating incoming and outgoing correspondence and preparing responses, as appropriate.
- Providing administrative support to the University Secretary and Administrative Officer.
- Assisting with OUS events.
