Description
Purpose:
Assist in all functions of the community outreach that are essential to the operations of the department: communication, office organization, community activities, processes and procedures, reports, public relations and healthcare applications
Responsibilities:
- Manage phone calls -incoming, outgoing - and perform all general office duties concerning all aspects of the community outreach meeting rooms, send mass mailings for upcoming events, maintain inventory of supplies, equipment and educational materials, greet visitors
- Keep inventory of giveaways, brochures and all collateral; maintain and organize file and supply room, order all supplies for office
- Assist and co-facilitate at community events (must be able to load vehicles, setting up displays, attending booths for information distribution.
- Support Sr. Mgr. Community Relations and Marketing Operations including the management of schedules and general assistance in day to day activities (meeting planning, development of agendas, record and file keeping).
- Refer clients to the appropriate venue/provider to receive the services they need/request on behalf od the hospital, Community Outreach Department.
- Assist Sr. Mgr, Community Relations with a sponsorship requests, ticket management, and event calendars
- Participate in planning, ordering, gathering materials for events and set up events, contact and schedule presenters and other needed personnel and community partners, transport materials to and from events including re-stocking.
- Attend meetings, provide input, participate in partnership events.
- Assist all office staff as needed and requested
Qualifications
- High School Diploma or GED required, Associate in health, social service, or business related fields preferred.
- 2 Years minimum experience in health care facility and/or community health or human services field.
- Communication skills: telephone, fax, email, verbal, written correspondence, one -to -one interaction with clients/patients/ohers: health care disciplines and general public.
- Computer skills: Email, Internet, Word, Excel-forms, flyers, document creation/management a plus.
- Organizational skills: time, inventory, general office duties, collection and data entry/analysis/reporting. Ability to walk/ stand 1-2 hours, lift up to 20 pounds.
- Flexibility to work shifts, all days of the week including weekends and work off site; may require use of vehicle for events and projects.
- Ability to work independently as well as a member of a team.
- Capable to interact with people of all ages, disabilities, and diverse backgrounds.
- Sensitivity for those who are disadvantaged.
