About this position: The Volunteer and Donor Engagement Coordinator is responsible for the day-to-day coordination of recruitment, screening, and onboarding, engagement and recognition of all UVFC volunteers, including the coordination of UVFC’s Tutoring Program, plus ongoing communication with program staff throughout these processes. The Coordinator utilizes the VolunteerEasy database to manage volunteer opportunities and maintain up-to-date records of potential, current and former volunteers. Additionally, the Coordinator is responsible for planning and leading volunteer engagement and appreciation activities, including an annual volunteer appreciation event. The Coordinator also works closely with the Development Team to implement successful fundraising campaigns, events, and other donor appreciation and engagement activities. The Volunteer and Donor Engagement Coordinator reports to the Development Director.
Essential Duties and Responsibilities
Volunteer Coordination
- In coordination with program staff, identify organizational needs and opportunities for volunteers and develop/revise volunteer role descriptions as needed.
- In coordination with program staff, screen, onboard, orient, and train volunteers to serve in various capacities across the organization.
- Collaborate with program staff to match volunteers to opportunities that suit their skill sets, and ensure they understand their responsibilities and receive the proper training.
- Coordinate UVFC’s Tutoring Program in St. Helena and Calistoga, acting as a liaison between the UpValley Family Centers, local school districts, families, and volunteers to recruit and train volunteer tutors, match tutors with students in need of academic support, and ensure a smooth experience for all stakeholders in this program.
- Implement use of VolunteerEasy platform for volunteer administration, recruitment, communications, and reporting. This includes configuring and maintaining up-to-date volunteer applications and interest forms in VolunteerEasy, and maintaining an accurate and up-to-date record of active/inactive volunteers.
- Collaborate with the Development Specialist to develop and implement a communications plan to recruit volunteers, including any necessary press releases, newsletter callouts, and/or social media posts.
- Keep new and existing volunteers informed about the organization and volunteer opportunities.
- Lead the development and implementation of regular volunteer engagement and appreciation activities, including an annual volunteer appreciation event.
- Regularly train program staff and serve as a resource on best practices in volunteer management.
- Establish volunteer program evaluation and retention practices.
Donor Engagement
- Participate in the organization and implementation of donor recognition and stewardship activities
- Support the Development Team’s consistent, accurate tracking of data using UVFC’s donor database. Work with Development Specialist to assure timely donation processing and acknowledgement as needed.
- Collaborate with the Development Team in planning, coordinating, and executing fundraising campaigns and events.
- Support other fundraising activities of the UVFC Board and Senior staff as needed
Other
- Ensure the organization's purpose is conveyed to the public by actively participating in promoting visibility and key messages in the communities
- Other duties as assigned
The successful candidate will be able to:
- Establish and maintain an excellent working relationship with staff, Board members, volunteers, and donors.
- Bring great organizational skills and attention to detail to the management of UVFC’s volunteer database and donor engagement activities.
- Work independently and take initiative to continually improve systems and processes
- Communicate effectively, respectfully, and persuasively with staff, Board, volunteers, and donors.
Qualification requirements:
- Strong attention to detail and the ability to think both creatively and strategically.
- Strong computer skills, including experience with donor database management, Excel, Word, and mail-merge processes.
- Relationship builder with exceptional interpersonal, verbal, and written communication skills, including the ability to compellingly articulate the agency’s mission with a clear commitment and belief in the work. Bilingual in English and Spanish is a plus.
- Demonstrated project management skills
- Valid Driver’s License, insurance or transportation
- Conduct fingerprint background check and TB test and receive clearance
Hours of work:
Work hours will generally fall within normal business hours; though attendance at certain standing meetings will be required, scheduling of work hours can be flexible.
