Job Summary: This individual must be overly friendly, punctual, and very patient-centric, as well as comfortable with medical software and detail-oriented with data input. This role is responsible for interacting with patients in a healthcare setting and managing administrative tasks for the medical team. Their duties include scheduling patient appointments according to Provider availability, explaining intake process to new patients, and processing payments.
Job Duties & Responsibilities – This position is responsible for the following duties and actions:
1. Scheduling
- Analyze Provider schedule in EMR and insert patient appointments according to various factors, including but not limited to: treatment, urgency, availability, authorizations needed, etc.
- Meticulously record pertinent patient information in EMR: insurance, appointments, payments, etc.
- Communicate clearly and directly to patient in person, over the phone, and/or via text
- Confirm patient appointments via phone or text and record/confirm in EMR
- Actively monitor schedule and waiting room to keep appointment flow on-time
2. Patient Check-In/Out
- Identify patient needs by observing both verbal and non-verbal cues
- Accurately communicate patient balance and collect payment PRIOR to completing check-in
- Verify any insurance authorizations needed PRIOR to completing check-in
- Schedule follow-up appointment for patient upon completion of visit
- Instill confidence and positivity in patient at both check-in and check-out (leading to 5-star reviews!)
3. Other Administrative Duties
- Answer incoming phone calls in order to provide prompt responses to patient inquiries and redirect calls, as needed
- Retrieve general phone and email messages, and respond back to patients before the end of each day
- Upon request, provide written follow-up letter to referring Provider
Job Skills Required– This person MUST possess the following interpersonal and administrative skills in order to be successful in this position:
Interpersonal:
- Communication – It is important to have strong, professional communication skills when working with patients; this means active listening and paying close attention to detailed concerns. It is also important to relay information clearly and concisely. Verbal, written, and telephone skills be professional and pleasant.
- Problem-Solving – Use EMR scheduling software and calendar to efficiently schedule patients within ideal window of 2-4 weeks.
- Teamwork– It is important to work as a team to create a seamless and efficient schedule that is patient-focused and provider-friendly.
- Empathy- Understand and show compassion to others; listen to patient – and even colleague – complaints. Work from a place of care, kindness, respect, and sensitivity.
Administrative:
- Electronic Medical Records – properly document patient visits and navigate EMR system
- Multi-Tasking– individual must have the ability to perform multiple tasks at the same time, e.g. simultaneously speaking with patient, responding to incoming call, reviewing EMR schedule, etc.
- Computer Literacy – proficient with EMR, email, documents, etc.
Desired Skills – It would be helpful for this person to possess the following skills in order to be successful:
- Bi-lingual – Spanish is strongly preferred.
- Microsoft Programs – comfortable using Word and Excel.
- IT experience (trouble shooting).
