This role is ideal for a Medical Assistant who can anticipate needs, stay organized in fast-paced environments, and help ensure a smooth and efficient patient experience throughout the care cycle.

This full-time role requires availability for at least one evening shift per week and one rotational weekend shift per month. Vanguard offers a $2.00 per hour shift differential for any hours worked after 6:00 p.m. on weekdays and for all weekend hours.

Key Responsibilities

Clinical Support & Patient Care

  • Administer injections and medications as directed by the provider, with strict adherence to protocols and documentation standards.
  • Confidently perform diagnostic testing (e.g., EKGs, rapid tests, vision screening) and support phlebotomy needs.
  • Manage and prepare for more complex patient encounters, such as multi-condition visits or chronic disease management appointments.
  • Ensure proper sterilization techniques and equipment readiness for minor procedures.

Visit Optimization & Clinical Readiness

  • Complete thorough pre-visit chart prep, including care gap checks, outstanding labs/imaging, and medication review.
  • Anticipate provider needs and prepare accordingly to minimize disruptions and delays during the clinical encounter.
  • Ensure seamless follow-up care by confirming that all orders, referrals, and instructions are captured and ready at visit completion.

Documentation & Quality Programs

  • Accurately capture and document quality metrics (e.g., HEDIS, Medicare Annual Wellness) and screenings in the EMR.
  • Participate in quality improvement initiatives by flagging gaps and supporting closing strategies.
  • Maintain high documentation standards to ensure timely billing and reporting accuracy.

Care Team Support & Coordination

  • Act as a reliable point of contact for clinical and administrative team members when questions arise during patient care.
  • Collaborate effectively across departments to ensure coordinated patient flow and continuity of care.
  • Participate in huddles and team meetings to contribute insights, share feedback, and support communication.

Patient Interaction & Education

  • Deliver clear and compassionate explanations to patients regarding medications, care instructions, and follow-up steps.
  • Address patient questions or concerns at the point of care, escalating only when appropriate.
  • Help maintain a calm, welcoming clinical environment even during high-volume periods.

Administrative & Operational Tasks

  • Manage prescription refill requests, prior authorizations, and referral workflows independently under provider guidance.
  • Ensure clinical supply inventory is maintained and exam rooms remain clean, stocked, and ready for use.
  • Support front office team with scheduling, phone calls, and check-in tasks if needed.
