What are the responsibilities and job description for the Real Estate Project position at Vanguard Properties?
About Us:
We're The We Group — a high-performing, heart-forward real estate team serving Sonoma County and beyond. We believe in hustle with humor, systems with soul, and always showing up for our clients and each other.
About You:
You're a proactive, organized, tech-savvy executor with a project manager brain and a "don't worry, I've got this" energy. You love taking big ideas and turning them into step-by-step plans — then following through without needing to be micromanaged. You thrive in dynamic environments, love a good checklist, and you're equal parts left-brain logistics and right-brain creativity.
What You'll Be Doing:
Project Management
- Manage timelines, checklists, and communication across our core team (agent, partner, TC, and VA)
- Ensure everything — from listing prep to client events — is moving forward and on time
- Track progress, send nudges, and keep us all focused on the right priorities
Admin & Calendar Oversight
- Coordinate and manage multiple email inboxes and calendars
- Schedule meetings, prep agendas, and follow up on outstanding items
- Own recurring tasks and keep our ops engine running smoothly
Marketing Execution
- Create postcards, flyers, and social content in Canva or via our brokerage tools
- Prep and send out mailers, client gifts, and branded materials
- Help manage email newsletters, social content calendars, and campaigns
Make Ideas Happen
- Turn brainstorming sessions into actionable timelines and deliverables
- Research tools or vendors, organize info, and offer solutions before we ask
- Bring ideas to the table and help us grow and scale the right way
What We're Looking For:
- Proven experience in project management or operations (real estate a plus, not required)
- Strong tech skills: Google Workspace, Canva, project mgmt tools (Asana, Trello, ClickUp)
- A creative eye and appreciation for good branding/design
- Emotional intelligence, communication savvy, and good vibes under pressure
- Self-sufficiency, reliability, and the drive to take initiative
Bonus Points:
- Background in real estate or marketing
- Lives in or near Sonoma County for occasional in-person meetings
- Can make us laugh while keeping us on task
Compensation:
Hourly pay based on experience, with potential to grow into more hours or full-time. Let's talk about what you need.
Salary : $60,000 - $80,000
