What are the responsibilities and job description for the Clinical Operations Administrator -- Pediatrics position at VCU Health?

The Clinical Operations Administrator provides strategic and operational leadership for a clinical service line across inpatient, outpatient, and procedural settings. This role partners with physician leaders in a dyad model to develop and execute strategies that advance clinical excellence, operational efficiency, and financial sustainability, while ensuring alignment with the health system’s mission and vision. This position will serve as a key liaison with senior leadership across ambulatory care, revenue cycle, hospital operations, and perioperative services.

Essential Job Statements

Strategic Leadership & Growth

Develop and implement service line strategy and expansion aligned with organizational goals, including growth, quality, and patient and provider experience.

Serve as a key liaison with executive leadership, physician chairs, and external stakeholders to position the service line as a regional and national leader.

Conduct market analysis and business planning to identify opportunities for expansion, partnerships, and differentiation.

Drive population health initiatives and value-based care strategies to improve outcomes and reduce cost.

Lead capital planning and resource allocation for technology, facilities, and workforce to support long-term objectives.

Collaborate with academic leadership to integrate research and education priorities into service line operations.

Operational Excellence

Oversee clinical operations across all sites, ensuring efficient standardized workflows, optimizing access, and patient throughput.

Transform operational processes and care delivery to achieve consistency across practices and to implement best practice for a unified patient experience and a unified provider experience.

Identify and remove barriers to provider workflows within the clinical environment.

Coordinate capacity management and scheduling to optimize patient flow and resource utilization.

Monitor clinical and operational KPIs (access, throughput, volumes, productivity, patient satisfaction, quality outcomes, and billing/collections) and take corrective actions as needed. Share knowledge and data with key leaders to drive well-informed business decisions.

Implement performance improvement initiatives to enhance quality and reduce waste. Drive clinical efficiencies to support evidence-based practice.

Partner with IT and analytics teams to leverage data-driven decision-making for operational improvements.

Manage financial performance within budget, including revenue cycle, cost containment, and productivity metrics.

Collaborate effectively in a matrix environment, engaging with peer leaders across service lines and functional departments to drive shared goals and integrated solutions. Key collaborating stakeholders (beyond department leadership) include ambulatory, hospital/acute care, perioperative services and revenue cycle.

Facilitate cross-functional communication and joint initiatives, leveraging collective expertise to address challenges and maximize organizational performance.

Ensure standardization of processes across departments to promote consistency and scalability.

People & Culture Leadership

Partner with department leadership and peer matrix leaders to recruit, develop, and retain high-performing teams.

Develops and maintains a strong working relationship with medical staff.

Foster a culture of collaboration, accountability, and continuous improvement.

Mentor departmental clinical leadership and support professional development.

Promote engagement and communication across multidisciplinary teams.

Compliance & Risk Management

Ensure adherence to accreditation standards, licensure requirements, and internal policies.

Oversee risk mitigation strategies, including patient safety and privacy compliance.

Maintain readiness for regulatory surveys and audits.

Education Required: Bachelor’s degree in Business Administration, Finance, Healthcare Administration, Nursing, or related field.

Education Preferred: Master’s degree in Business Administration, Finance, Healthcare Administration, Nursing or related field.

Minimum Qualifications

Years and Type of Required Experience: Minimum of five (5) years in healthcare operations, with at least 3 years in a progressive leadership role; service line or multi-site leadership preferred requiring significant financial, revenue cycle, and operations responsibility.

Other Knowledge, Skills and Abilities Required: Strategic planning and financial acumen. Strong leadership and communication skills. Expertise in process improvement and change management. Ability to build physician and stakeholder relationships
