Overview

We are seeking a highly organized and detail-oriented Title Clerk

to manage vehicle titling processes while also supporting our sales team with administrative coordination. This role requires strong follow-through, excellent customer service, strong computer skills, and the ability to hold others accountable to ensure consistent execution of internal procedures.

Duties and Responsibilities

  • Process vehicle titles and registrations in accordance with state and federal regulations.
  • Verify vehicle title documentation for accuracy and completeness.
  • Liaise with the DMV, banks, lienholders, and customers to resolve title issues or delays.
  • Maintain a clear system for tracking incoming and outgoing title paperwork.
  • Ensure timely submission of required documentation to avoid delays in the sales process.
  • Assist the sales team in preparing and organizing necessary paperwork for deals and deliveries.
  • Keep internal sales progress dashboards and CRM tools accurate and up to date.
  • Coordinate with other departments (e.g., production, finance) to ensure all pre-sale and post-sale steps are being completed on schedule.
  • Follow up with team members to ensure compliance with required documentation and process standards.
  • Support process improvement efforts by identifying areas of delay or miscommunication and proactively recommending solutions.

Required Skills And Abilities

  • Minimum 3 years of title clerk experience in the automotive industry or a related field.
  • Proficiency in Microsoft Office Suite (especially Excel), Google Workspace, and CRM systems.
  • Exceptional attention to detail and organizational skills.
  • Strong ability to multitask and manage shifting priorities.
  • Excellent communication skills, with a proven ability to follow up and hold others accountable.
  • Familiarity with vehicle sales paperwork and customer delivery coordination is highly preferred.
  • Self-motivated and dependable.
  • Process-oriented and committed to accuracy.
  • Comfortable working in a fast-paced, team-driven environment.

Education Background and Experience

  • High school diploma or equivalent

Physical Demands (To include but not limited to)

  • Prolonged periods of sitting at a desk or workstation.
  • Occasional standing or walking within the office or shop, such as attending meetings, retrieving documents, or interacting with customers or employees.
  • Occasionally lifting and carrying items, typically weighing up to 10-20 pounds.
  • Frequent use of fingers and hands for typing, writing, and operating a computer.
  • Using telephones, printers, copiers, and other office tools.
  • Frequent need to focus on printed or digital material.
  • Reviewing financial documents, schedules, or customer data with accuracy.
  • Regular communication with customers, vendors, and team members, either in person, on the phone, or via video conferencing.
  • Engaging with customers in person or over the phone, sometimes requiring extended periods of active listening and problem-solving.
  • Prolonged exposure to hot or cold temperatures.
  • Mild noise from office machines or nearby shop areas if the office is adjacent to the workshop. PPE may be required while walking through the shop.
  • Moving around the office or between departments, sometimes requiring the ability to climb stairs.
  • Safely operate a motor vehicle.
