Job Description: A key member of the Human Resources team, the Executive Assistant will provide support to the department to allow team members to increase their effectiveness. This position will report directly to the Vice President, Human Resources, providing confidential, proactive, and timely executive support, while also assisting the department with various administrative needs and projects. The role requires initiative, problem solving abilities, exceptional communication skills, meticulous attention to detail, a strong collaborative approach and experience working in a highly professional office environment. Responsibilities include: Executive Assistant Support for department Vice President Scheduling Appointments and Meeting Coordination Maintaining calendar, schedule and appointments, including working effectively with other executive assistants to ensure smooth coordination Arrange and maintain department events and major meetings, including catering for lunch meetings Prepare meeting agendas, organize supporting materials, coordinate catering as necessary May be requested to take notes during meetings and prepare follow up materials Travel Arrangements & Expenses Coordinate and make travel arrangements Prepare expense reports and ensure compliance with company travel and expense policies Phone Coverage Answer phone in a timely, courteous and professional manner and ensure messages are communicated accurately to appropriate parties Correspondence/Presentations Prepare regular and ad hoc presentation materials in PowerPoint/Word/Excel Coordinate and prepare materials or make arrangements for special projects as requested such as assembly, distribution, preparation to mail or track documents Department Administrative Support Prepare expense reports for the Human Resources leadership team, ensuring compliance with company travel and expense policies Processes employee transaction information in the human resources information system (transfers, promotions, org changes and terminations) Administration associated with onboarding, transfers and promotions Routing messages from the reception phone to proper employees Maintain distribution lists in Microsoft Outlook for employee communications Conduct employment verification requests for active and former employees Provide administrative support for various training programs such as: Venue selection Accommodations and catering Entering training activity into the learning management system Ensuring employment compliance posters are current at each office Completes various projects assigned to support the department REQUIREMENTS: High school diploma required; Bachelor's degree preferred Minimum of 5 years administrative support experience. Thorough knowledge of administrative practices and procedures. Successful track record of working and thriving in a dynamic, fast-paced and changing environment that is results oriented and collaborative.
