Position Summary:
We’re seeking a polished, organized, and motivated Studio Assistant to support day-to-day operations, purchasing, project coordination, and client communication at our boutique kitchen and bath design studio. This is an excellent opportunity for someone who is excited to learn the business from the inside out and grow into a long-term role with greater responsibility.
If you're someone who thrives on bringing order to busy days, enjoys juggling multiple roles, and has a natural instinct for design, style, and service—this may be the perfect fit.
Who You Are:
You’re always on time, put-together, and professional. You don’t need reminders—you see what needs to be done and do it. You arrive ready to jump in—whether it’s answering phones, sourcing materials, updating spreadsheets, assisting in client meetings, or managing project follow-ups. You’re comfortable wearing many hats and enjoy seeing things through from concept to completion.
You’re warm with clients, organized behind the scenes, and always thinking two steps ahead. Whether you’re prepping a quote, attending a job site, or managing the showroom schedule—you take pride in doing things right, on time, and with care.
Core Responsibilities:
- Arrive on time and professionally prepared to begin each day at 10:00 AM
- Answer calls, return emails, and organize the day’s project priorities
- Read owner’s emails and respond quickly to client requests or updates as appropriate
- Greet and support walk-in clients and help guide them through early-stage selections
- Maintain scheduling for appointments, site visits, and showroom bookings
- Assist during client meetings and on-site walkthroughs
- Go on job site visits, take accurate notes, and help convert them into scopes of work
- Assist with job pricing, estimates, and square footage/material calculations
- Accurately calculate cost estimates and materials needed for projects
- Draft basic contracts and scope of work documents from templates
- Prepare and send out quotes for materials, labor, cabinetry, and vendor services
- Prepare and send end-of-week project update emails to clients as a summary of the week’s progress
- Source and price products (tile, fixtures, flooring, cabinetry, etc.)
- Request quotes, compare pricing, and open new trade accounts
- Create, manage, and track purchase orders, order logs, and delivery schedules
- Track and manage purchase orders, delivery schedules, and project documentation
- Build and maintain Excel tracking tools using formulas and functions (you should be better than your boss at this!)
- Maintain organized digital project folders and file systems (OneDrive)
- Prep digital folders, project specs, and showroom materials
- Help prepare client-facing spec sheets, selection boards, and meeting notes
- Create visual design boards (Canva) for client presentations and internal tracking
- Create and post simple social media reels about ongoing projects, showroom activity, or design highlights
- Communicate with vendors and clients with kindness and clarity
- Organize schedules, emails, deliveries, and product returns
- Be directly responsible for returning all samples to their proper location after each design meeting and recording selections accurately as needed
- Assist in showroom organization, sample maintenance, and product displays
What You Bring:
- You must be highly skilled in Microsoft Excel—this is not optional. You should know how to build and fix spreadsheets with formulas, calculate square footage, track materials, and price out jobs. If you’re not confident doing this, this role isn’t the right fit.
- Familiarity with Microsoft Word, Outlook, and OneDrive file organization
- Experience with Canva or similar visual design tools
- Excellent verbal and written communication skills
- Proven ability to manage multiple priorities independently
- Reliable transportation and punctuality are essential
- Friendly, professional presence and willingness to grow within the business
- Bonus: design interest or experience, or natural ability with scale, color, and product style
Why This Role Matters:
This position is critical to the smooth daily operations of a busy design firm. You’ll be a key support to the owner, acting as the bridge between ideas and execution. If you’re looking for a place to grow, develop new skills, and be part of a creative, thoughtful team—this role offers long-term potential.
