Schedule: Mon-Fri 8:30am-4:30pm Salary: $50,000-$52,000 / year
Summary:
The Leasing and Subsidy Specialist at Vinfen is responsible for managing residential leases and rental subsidies allocated to and/or under contract by Vinfen. This role ensures compliance with applicable housing subsidy program regulations, maximizes rental subsidy revenue, and provides Operations staff with training and technical assistance on federal and state subsidy programs.
Key Responsibilities include:
- Maintain property and lease documentation and files.
- Notify Operations staff of upcoming lease events (e.g., lease expirations) and coordinate activities.
- Perform lease-related administrative tasks, including obtaining signatures, entering data into LeaseCalcs and Agresso, and filing leases and related documents.
- Manage residential lease-related activities for DMH Rental Assistance-subsidized properties.
- Maintain strong relationships with DMH, EOHLC, Housing Authorities, Operations staff, and Property Owners/Managers.
- Provide technical assistance and support to Operations staff, particularly ACCS and PACT Housing Specialists.
- Manage residential lease-related activities for Continuum of Care (CoC) sponsor-based and tenant-based subsidized properties.
- Maintain accurate and up-to-date information in LeaseCalcs and Agresso, including rent amounts, effective dates, notification and expiration dates, and lease status.
- Provide Accounts Payable with complete and accurate information regarding payments.
- Notify Purchasing and insurance agents of new sites or changes in existing sites.
- Under the direction of the Director of Affordable Housing, audit account activities for accuracy and timely entries in specified databases.
- Process Accounts Payable Vouchers (APVs) for water, sewer, and other charges as needed.
- Reconcile residential accounts for accurate rent payments and make adjustments where needed.
- Track and recover repair and maintenance costs from property owners.
- Assist the Quality Department in closing out deficiencies.
- Develop and maintain strong relationships with property owners, management companies, and housing authorities.
- Collaborate with Operations and Facilities staff on repair and maintenance responsibilities and communicate with the Quality Department and property owners.
- Perform other duties as assigned
