Virguez Law has an immediate opening for a dynamic, bilingual (English/Spanish) Front Desk Receptionist at our Duluth Office, who has existing law office reception experience.
The ideal candidate will be outgoing, warm, friendly, welcoming, and should enjoy smiling when greeting and helping our clients. Must also be adept at and enjoy working in a very fast paced, dynamic environment, with strong multitasking abilities and skills. Additionally, this position is client facing and is typically the first individual to visually represent Virguez Law. Therefore, the right candidate will be professionally dressed and well groomed in their overall appearance, conduct, and professional behaviors at all times.
Duties include answering our busy phones, transferring call, sending messages to others throughout the day with our internal messaging system, greeting and taking customer payments, entering payments into our Quick Books system, opening and distributing mail, may be requested to assist with minor contract set up, and other unplanned issues throughout the day. The right candidate will be detail oriented, helpful. very proficient with multitasking, skilled with being interrupted then getting back on task, and learning in a VERY HIGH VOLUME/FAST PACED ENVIRONMENT! Punctuality is extremely important, as the Front Desk Receptionist welcomes and greets our walk in clients at 8:00 a.m. sharp.
Given the intensity of this position, we will offer selected candidate(s) the opportunity to shadow our current receptionists for several days, with pay, to ensure that this is the right fit, prior to becoming employed full-time.
In exchange, we offer a competitive hourly rate, opportunities for promotion after 1 year, and benefits after completing 60 / 180 days of successful, continuous employment.
Position Qualifications:
- Fluent in English and Spanish (required)
- 1-3 years telephone receptionist experience in a busy law office environment (highly preferred)
- Comfortable and proficient at handling high call volumes while positively greeting and interacting with walk in clients
- Must have excellent Customer Service skills and be able to demonstrate proper, telephone etiquette
- Highly organized and detailed multitasker
- Adept at working in a fast-paced environment
- Should understand basic legal terminology when assisting clients
- Knowledgeable about accepting and processing client payments preferred
- Quick Books knowledge (strongly preferred)
- Proficient using Microsoft Office and the calendar
- Technologically capable of quickly changing from one software program to another throughout the day
- Must have a Positive "can do" approach to work with the ability to quickly grasp new concepts/processes and positively embrace change
Hours: Mon - Fri from 8:00 - 5:00 in our Duluth Office.
