Vox Media’s Legal and Business Affairs team is a dynamic and integral part of Vox Media, supporting the company in all areas of business, content creation, and compliance. We’re seeking an experienced Legal Operations Senior Associate to join our highly motivated Legal Operations team.

The core functions of the Legal Operations team include knowledge and information sharing, building and maintaining systems, project management, and managing legal team vendors for Vox Media’s Legal & Business Affairs team. We’re looking for a creative, detail-oriented, and solutions-driven experienced operations professional with a proven ability to partner cross-functionally to build scalable systems and processes. You will play a critical role in enhancing the Legal & Business Affairs team’s effectiveness and efficiency, enabling the department to better serve the needs of Vox Media.

This position reports directly to the Head of Legal Operations (who is also Senior Director, Rights & Licensing) and will work alongside another legal operations professional.

What You’ll Do

Systems Development and Legal Tech Management

  • Create, develop, maintain and optimize legal systems and tools across DocuSign, Dropbox, Slack, and low-code automation applications like Airtable and Zapier.
  • Partner with other members of the Legal & Business Affairs team, as well as stakeholders across the company to create processes and manage integration and adoption of systems.
  • Manage legal tech and legal vendor relationships.

Project Management

  • Design and lead initiatives to improve workflows, processes, and contract lifecycle management. For example, our Legal Operations team partnered with other members of the Legal & Business Affairs team and Vox Media’s content creation teams to create a streamline process for production to send out the necessary legal documentation for their projects. This process also memorializes key information–such as restrictions, and other critical data–that can be used by the Legal & Business Affairs team and our production teams in the future.
  • Manage complex cross-functional projects from ideation through execution ensuring goal alignment, managing stakeholder communication, execution, and adoption, both independently and collaboratively with other members of the Legal Operations team.

Information Governance and Knowledge Management

  • Create and maintain resources for the Legal & Business Affairs team and external guidance to the various content creators and business teams it supports. This includes ideating best saving practices and processes, critically assessing our current resources, and thinking strategically about how we communicate guidance to the company.
  • Develop and champion best practices for knowledge sharing, documentation, and document retention.

Additional Responsibilities

  • Support Vox Media’s compliance efforts, including employee and contractor training, records retention, and other compliance initiatives.
  • Support the exploration of new technology to further innovate and improve systems and workflows.
  • Proactively identify knowledge gaps and implement scalable solutions that empower business users with self-service legal resources.
  • Assist the General Counsel and other members of the Legal & Business Affairs team with managing outside counsel billing and payment.

Who You Are

  • 4 years of experience in legal operations (or adjacent operations background) with a proven track record of developing workflows, processes, and managing complex projects, and systems.
  • Excellent communication skills, including clear and effective written and verbal communication.
  • Ability to work effectively with a diversity of individuals at all levels and across all areas of an organization and can effectively manage upwards.
  • Highly organized and meticulous attention to detail and quality of work.
  • Curious, creative, open-minded and energized by solving operational challenges.
  • Ability to adapt and adjust goals, priorities, processes, and results throughout change.
  • Ability to multi-task in a fast-paced environment.
  • Proven ability to independently identify areas of improvement and proactively escalate.
  • Adept at translating ambiguity to actionable goals and processes.
  • Team-oriented and flexible with a “no task is too small” mentality.
  • Experienced in working with Airtable, Slack, Zapier, Docusign, and Google Workspace.
  • Preferred but not required:
    • Experience working at a law firm, in-house legal team, or media company.

WHERE YOU’LL WORK

This job is located in New York or DC. While we currently do not require Legal & Business Affairs team members to work out of the office regularly, team members are expected to be available to come into the office from time to time for meetings with other team members or key stakeholders.

PAY TRANSPARENCY

The salary range listed below represents the minimum and maximum base pay for this position at the time of this posting. Final salary offered to the candidate selected for the position will be based on factors including but not limited to the candidate's skills and experience.
