WRM is seeking a detail-oriented Administrative Assistant to support operations under the General Manager. In this role, you’ll handle clerical tasks, maintain business records, and coordinate office activities. Success requires strong organizational skills, attention to detail, and the ability to follow up and provide timely status updates on assigned initiatives.

- Assisting the Market Manager and leadership team with delegating tasks
- Greeting and assisting visitors in a professional manner
- Answering phones, transferring calls, taking messages, and routing inquiries to the correct department
- Collecting, organizing, scanning, and distributing documents to appropriate departments
- Researching missing or incomplete manifests and providing timely responses
- Addressing customer concerns and questions with accuracy and professionalism
- Stamping and processing third-party manifests upon receipt
- Collecting data from Driver’s Daily Route sheets and entering mileage into spreadsheets
- Preparing and managing manifests from the previous day (stamping, signing, dating, separating, scanning, filing, and mailing to the City when required)
- Ensuring permitting processes are completed accurately and on time
- Supporting special projects and performing other duties as assigned
- High School Diploma/GED preferred with 3 years of administrative office experience (or equivalent education/experience)
- Bilingual (English & Spanish) required
- Experience in the transportation/dispatch industry preferred
- Intermediate proficiency in MS Office Suite (Word, Excel)
- Strong interpersonal skills with a drive to deliver superior customer service
- Self-motivated, proactive, and able to take initiative without constant direction
- Demonstrated ability to use sound judgment and make effective business decisions
- Skilled in problem-solving and troubleshooting
- Capable of working both independently and collaboratively in a team environment

- High School Diploma/GED preferred with a minimum of 3 years of administrative office management experience, or equivalent combination of experience and/or education.
- Bi-lingual and fluent in English and Spanish.
- Transportation/dispatch industry experience is preferred.
- Intermediate knowledge of MS Office Suite, to include MS Word Excel.
- Excellent interpersonal skills and a high drive to provide superior customer service.
- Highly motivated and ability to take initiative without being directed.
- Ability to use sound judgement in making good decisions on behalf of the business.
- Proficiency in troubleshooting and problem-solving.
- Ability to work independently and in a team environment.
