The Associate Executive Specialist (Executive Assistant) will support two Senior leaders in performing diverse, advanced and confidential daily executive administrative support duties. As a result, this assistant interacts daily with various levels of leadership. They will provide a high level of professional support which includes a balance of senior executive level administrative work, as well, as ongoing ad hoc project/business initiatives such as planning meetings, tracking deliverables and pulling routine reports. This role is ideal for an individual who is highly organized, detail oriented, tech savvy and capable of managing multiple priorities.

In this role, you will:
- Provide a high level of professional support which includes a balance of experienced executive level administrative work, as well, as ongoing ad-hoc project and business initiatives such as planning meetings, tracking deliverables and pulling routine reports
- Perform heavy calendaring, complex travel planning, extensive document creation and editing, and preparing expense report submissions
- Support projects
- Assist with budget planning and compile statistical data for financial planning
- Act as information source on group and company policies
- Receive direction from supervisor and exercise judgement within defined parameters while developing understanding of the Administrative Support function
- Collaborate and consult with peers, colleagues and managers to resolve issues and achieve goals
- 6 months of Administrative Support experience, or equivalent demonstrated through one or a combination of the following: work experience, training, military experience, education
- Experience supporting senior level leaders/executives
- Manage executive calendar and coordinate executive's interface with internal clients and team members; proactively anticipate preparation needed for meetings.
- Experience supporting multiple managers with calendar management, travel arrangements, scheduling of meetings and events
- Advanced Microsoft Office (Outlook, Excel, Word, PowerPoint, LiveMeeting and SharePoint) skills
- Experience with development, maintenance and oversight of SharePoint site
- Experience with HR administration tools such as Staff Management, CP&D, Workday, Systems access, Year End Review and PTO tracking.
- Good PC skills with the aptitude to learn new systems quickly
- Strong time management skills and ability to meet deadlines
- Strong attention to detail and accuracy skills
- Highly refined and professional verbal and written communications
- Experience reviewing and preparing expense reports for leaders
- Ability to be flexible and adjust plans quickly to meet changing business needs
- Ability to develop partnerships and collaborate with other business and functional areas
- Ability to execute in a fast paced, high demand, environment while balancing multiple priorities
- Ability to maintain composure under pressure
